Detailed Overview:

Reporting to the Manager, Clinical Operations, the Medical Office Supervisor is required to act independently, and as a member of a multi-disciplinary team within the framework of departmental regulations, program guidelines and standards. This position is responsible for the day-to-day operations of the Primary Health Centre office, which includes the workflow, patient service systems, clerical responsibilities, and data entry and billing systems. This position assists with tasks that are a cross responsibility of all team members.
**Responsibilities**:
- Oversees the workflow of the Centre by establishing work schedules and priorities, organizing procedures for a variety of clerical support functions and allocating the work among designated staff. Calls in relief staff as required. Evaluates employee performance. Determines training and orientation requirements.
- Maintains timekeeping records for regular and relief staff and submits to Payroll as required.
- Arranges meetings by booking dates, meeting rooms, catering.
- Provides desk reception, including handling telephone inquiries, scheduling appointments, arranging for patient referral to specialists, special tests, and other care providers.
- Ensures that small surgical/procedures instruments are cleaned and packaged according to standard protocols.
- Performs clerical tasks, including typing, copying, assembling and maintaining files/charts, and transcribing patient notes, correspondence, and reports.
- Performs data entry for the purposes of patient registration, MSP billing information for Teleplan System, follow-up of outstanding aged and rejected claims, MSP Remittances and Adjustments.
- Maintains statistical records and prepares monthly patient statistics report.
- Receives payment from patients; codes payments into the cash receipts journal; controls and balances Petty Cash and Cash Float; prepares bi-monthly deposit and maintains accounts payable filing systems.
- Keeps records of purchase orders.
- Oversees the orientation of new staff and students.
- Participates in quality assurance and program evaluation activities by performing duties such as gathering consumer-related information and statistics. Provides input to the Manager regarding policy issues, service gaps, and program development, maintenance, and evaluation needs.
- Reports unusual occurrences and risk management issues.
- Participates in the development of the goals and objectives of the Health Centre.
- Participates on committees and attends meetings related to job duties.
- Performs other related duties as required.
Qualifications**:Education and Experience**
Grade 12. Certificate from a recognized Medical Office Assistant Certification program. Three years recent related experience or an equivalent combination of education, training and experience, including one year in a supervisory role.
