**POSITION: LANDS CLERK**
**HOUR OF WORK: FULL-TIME, PERMANENT (35 HRS/WEEK)**
**REPORTS TO: LANDS MANAGER**
**WAGE RANGE: $25 - $30 per hour**
***:Under the general direction of the Lands Manager, the Lands Clerk provides administrative support, and other planning assistance for land use, lease management, land management and protection, and associated services for the Tsawout First Nation Lands Department.
**KEY ACCOUNTABILITIES**
- Supports the Lands Manager and Lands Department in all clerical duties of the Lands Department. This includes but is not limited to:
- Preparation of Lands Committee meetings (contacting members, distributing meeting packages, taking meeting minutes, preparing honorariums),
- Filing for the Lands Department,
- Preparing various letters for the Department,
- Responding to general enquiries from the public,
- Assists in the preparation of the Department’s community newsletter reports,
- Provides support to the Lands Manager on Lease Management duties,
- Performs other related duties for the Lands Department and Lands Committee,
- Receives telephone calls, provides correspondence as required; assists and directs public to appropriate land management resources such as providing information regarding Tsawout First Nation land management laws, policies and procedures.
- Provides support to the Lands Department in the planning and preparation of community meetings and community presentations.
- Reviews and prepares forms assuring accuracy with established policies and procedures.
- Types and edits general correspondence, memos, forms and reports using word processing software; proofreads documents for correct use of grammar, spelling, punctuation and document format.
- Maintains office files and department database; retrieves information from files for the Lands Manager; removes outdated file materials, as needed.
- Prepares weekly purchase orders for Lands Department staff as required;
**KEY QUALIFICATIONS AND ATTRIBUTES**
- Ability to communicate clearly and effectively, both orally and in writing with Tsawout First Nation staff members, Tsawout community members, all levels of government and the general public.
- Ability to execute effective customer service when interacting with the community members and the general public.
- General knowledge/ability to file accurately and track records in order to facilitate efficient retrieval.
- Ability to type at a reasonable rate of speed with a high degree of accuracy in typing and proofreading.
- Ability to research, analyze and interpret data.
- Knowledge of basic planning and development process terms and codes; land use planning principles is an asset.
- Excellent verbal and written communication skills including a strong ability in report writing and proposal writing;
- Excellent organizational skills and attention to detail;
- Ability to work independently with mínimal supervision as well as be a cooperative and contributing member in a team environment;
- Knowledge of and experience using Microsoft Office (Word, Outlook, Access & Excel) and proficient data management skills.
- Must be capable of working flexible hours inclusive of evenings when required;
- Knowledge and understanding of the Tsawout Nation’s culture, history, reserve lands and traditional territory an asset.
**WORKING ENVIRONMENT / OTHER**
- Office;
- Occasional travel to attend meetings and conferences;
- Evening and weekend work as required.
