**JOB SUMMARY**:
The Accounts Payable Clerk will complete administrative duties required for Children in Care Maintenance, and will possess sound knowledge of the preparation, data entry and recording of all Child Maintenance transactions for TTNCFSS. The employee must uphold the importance of records management and the protection and security of all information and information systems as per Tsuut’ina Nation Finance, ISC file requirements and Albert Children Services Service Delivery Agreement.
**DUTIES AND RESPONSIBILITIES**:
- Provide administrative support as part of the Admin Support Team, including reception duties such as greeting and directing public inquiries and appointments, as required.
- Prepare and process all requisitions for Child in Care payments according to the Child Maintenance schedule.
- Record and manage all financial documents in accordance with the standards of Tsuut’ina Nation Finance, Alberta CYFEA, Indigenous Services Canada (ISC), and TTNCFSS.
- Handle high volumes of documentation while ensuring the confidentiality and security of all records and information systems.
- Maintain records for all placements utilized by TTNCFSS, including Foster Care, Kinship Care, Group Care, and Institutional placements.
- Perform accurate data entry using required systems such as CICIO and Xyntax.
- Track and log financial and administrative information as required.
- Provide comprehensive administrative support to the TTNCFSS Agency Team.
- Attend all staff meetings and weekly check-ins (e.g., Monday morning meetings).
- Perform general office tasks such as photocopying, archiving, faxing, and shredding of documents.
- Prepare additional financial documents for processing as directed by supervisors.
- Stay up to date with changes to rates and financial eligibility at the provincial, local, and federal levels.
- Maintain knowledge of Agency and Nation policies and procedures to ensure compliance with financial protocols.
- Keep current with the services offered and accessed by the Agency.
- Promote and encourage effective teamwork within the administrative and agency teams.
- Assist in the orientation and onboarding of new staff members.
- Provide coverage for office procedures and tasks in the absence of team members.
- Perform other duties as assigned by the Casework Supervisor, Associate Director, or Director.
**QUALIFICATIONS AND SKILLS**:
- Desired Education, Knowledge and Experience:
- High School Diploma or GED.
- Office Administration Certificate or Diploma is an asset.
- Bookkeeping or Accounting Diploma is an asset.
- Knowledge of accounting principals.
- Knowledge of data and records management, and processing procedures.
- Personal Attributes:
- Attention to detail.
- Strong communication skills - verbal and written.
- Advanced computer skills, with Information Technology knowledge.
- Organization and coordination.
- Ability to work independently and within a team environment.
- General Employment Requirements:
- Valid Alberta Driver’s License, proof of insurance and registration, and reliable transportation.
- Criminal Record Check, and Child Intervention Check.
- Oath of Confidentiality.
