Event Coordinator
White Point Beach Resort has been welcoming families, friends, couples and year-round groups for over 90 years. White Point is a high demand, prime location for many different types of events on the South Shore. From corporate meetings and conferences, to weddings, reunions and more; we host over 200 group-based events annually. We also curate dozens of unique White Point events to help enhance the experience of all of our guests. Our Event Services department is currently seeking an ambitious, organized, self-starter with a dynamic personality to complete the Events team. In this highly productive, detail-oriented role, you’ll assist the department and our clients in delivering memorable events and experiences as well assist the management team in building a team dedicated service culture.
**Responsibilities**:
- Organize all events, special occasions and entertainment throughout the resort
- Prepare BEO's in accordance of our policies and procedures with meticulous detail
- Assist in the management of all VIP visits as well as stakeholder requests on an ongoing basis
- Collaborate with Recreation and Leisure, Experience and Food and Beverage departments to respond to all guests
- Coordinate and communicate verbally and in writing with clients, both internal and external regarding event details
- Acts as liaison between White Point Beach Resort employees and resort clients throughout the event process
- Always make presence known to customers during this process
- Stay available to solve problems and/or suggest alternatives to previous arrangements
- Identify operational requirements and work with resort employees and customers to execute
- Lead pre-event and post-event meetings when necessary
- Facilitate various meetings when required
- Integrate current trends in event management and event design
- Interact with customers to obtain feedback on product quality and service levels
- Respond to and handle customer concerns and complaints
- Empower employees to provide excellent customer service
- Conduct pre-and post-event meetings to review and communicate group needs and feedback
- Solicit feedback from the resort departments to identify areas for improvement to enhance the event planner’s experience
- Ensure billing accuracy and conduct bill reviews with the customers and the Finance department
- Distribute all requests to the appropriate division in a timely manner
- Develop and maintain departmental operational policies and work procedures
- Create departmental business plan on annual basis
- Ensure that applicable policies and procedures, regulatory ordinances, governing laws and generally accepted protocol and practices are followed
- Work as part of a team to build strong relationships with local community and local businesses
- Compliance with all safety regulations of assigned tasks, and ensure a clean and safe working environment with active participation in the health and safety program
- Adhere to all environmental policies and programs as required
- Other duties as assigned
Requirements, Skills & Experience:
- Minimum of 3 years’ experience as an event coordinator
- Post secondary degree in event management, hospitality, business administration or related is desirable
- Membership of Meeting Planners International considered an asset
- Business acumen and positive mindset that is guest focused
- Communication/logistics management
- Organizational effectiveness must be able to multi task
- Results oriented relationship builder
- Independent but collaborative when necessary
- Experience in a resort setting
- Detailed orientated with strong verbal and written communication skills

Working Conditions
- Must be able to work flexible hours including evenings, weekends and holidays
- Required to move, lift, carry, pull and place objects weighing less than or equal to 25 pounds without assistance
- Stand, sit or walk for an extended period or for an entire shift
- Reach overhead and below the knees, including bending, twisting and pulling
