**Working for the School of Dentistry**
The School of Dentistry Oral Health Clinic (OHC) located on the 8th floor of the Kaye Edmonton Clinic provides oral health care services.
**Position**
Reporting to the Patient Services and Systems Supervisor with a dotted line reporting to the Program or Team Director, the Patient Services Clerk provides clerical, administrative, financial and reception support to the patients, students and instructors. This position works in a busy environment, answering a high volume of phone calls and acts as the first-point of contact with patients and students.
**Duties**
- Patient Services Clerks may be assigned to various program areas within the School of Dentistry Oral Health Clinic. These include but are not limited to the Dentistry & Dental Hygiene Programs, General Practice Residency (GPR) Program, Periodontology Graduate Program, Oral Medicine Graduate Program, etc. The general tasks and responsibilities are similar regardless of the specific clinic.
- Registers new and existing patients and confirms patient demographics
- Adds dental insurance if applicable
- Collects pre-payment for certain treatment types
- Update lab tracking form to indicate payment has been made
- Reviews treatment entered for appropriate fee codes, make changes as required
- Schedules appointment requests for follow up appointments
- Patient Follow up
- Documents all patient communication in patient contact notes
- Monitors cancelled and failed appointments, assist to fill short notice cancellations
- Sends patient correspondence through Patient Access or Brightsquid
- Maintains patient files in accordance with applicable policies and retention schedules
- Ensures patient complaints are routed to Patient Services & Systems Supervisor
- Retrieves and returns phone messages
- Books new and existing patient appointments
- Monitors that student schedule is fully utilized
- Answers incoming phone calls from patients and forwards as appropriate
- Prepares patient chart copies as requested
- Performs other administrative duties as required
- Coordinates and receives documents (referral letters, correspondence, medical history documents, etc.), and scans into patients’ electronic charts in axiUm database
**Qualifications**
- Dental Office Certificate or other dental-related post-secondary training
- Minimum 2 years of relevant experience in a fast-paced dental office
- Experience with processing a large volume of patient traffic and phone calls
- Proficient with dental software
- Ability to critically analyze all aspects of the patient record and identify any required changes
- Accurate data entry skills; strong attention to detail
- Ability to multi-task in a fast-paced and diverse work environment that is dynamic and constantly changing
- Excellent communication skills (listening, verbal, and written) and interpersonal skills
- Well-developed organizational skills with the ability to meet deadlines and prioritize activities
