**Position Summary**

We are seeking a Junior Recruiter to join our team, working collaboratively to enhance the recruitment and onboarding experience for employees across the organization.
Under the direction of the HR Manager, the Junior Recruiter provides culturally informed recruitment and administrative support to job applicants, new hires, and internal departments. This role involves coordinating
Seabird Island Band as an employer of choice and support meaningful employment opportunities for Band Members and community members.
**What you'll do**
**Recruitment Coordination and Support**
- Support the Senior Recruiter in carrying out the full recruitment cycle — from job posting to onboarding.
- Draft, edit, and post job ads on the Seabird Island website, job boards, and community networks.
- Monitor recruitment inboxes, respond to inquiries, and maintain professional and respectful communication with all applicants.
- Monitor job postings for updates, comments, and actions required from the hiring panel.
- Prepare and organize interview materials, including reference check forms, interview packages and requests for accommodations in the interview process.
- Coordinate, schedule and attend screenings, interviews, in-person interviews, meet and greets, etc.
- Draft employment offers and onboarding documentation for review by the Senior Recruiter.
- Ensure all employment files and HRIS (BambooHR) entries are accurate and complete before hire.
- Support direct supervisors and hiring panels in understanding their roles and responsibilities in recruitment, including interview documentation and follow-up steps.
**Onboarding and Employee File Management**
- Coordinate onboarding activities and ensure all required documents (training certificates, identification, criminal record checks, etc.) are collected and securely filed.
- Support direct supervisors in developing onboarding plans and tracking completion of required training, including Occupational Health and Safety (OHS), Respect in the Workplace, and cultural orientation.
- Ensure new hires are guided through their onboarding tasks, first few weeks of work, feel welcomed, and have clear supports during their first weeks.
- Maintain up-to-date employee records, including start dates, position changes, documentation, compensation adjustments, and probation tracking, etc.
- Work with Payroll and HR staff to confirm accuracy of employee data.
**Community Engagement and Recruitment Marketing**
- Assist with planning and attending community-based job fairs, networking events, and career days.
- Help promote employment opportunities in a way that encourages Band Member and local First Nations participation, including all in-community notices, job boards, job binders, etc.
- Maintain and update recruitment materials (flyers, posters, digital assets), ensuring they reflect the opportunity, Seabird Island’s values, and community spirit.
**Reporting and Administrative Support**
- Prepare reports and meeting notes for the Senior Recruiter and HR Manager.
- Support processing of invoices and quotes related to recruitment activities.
- Uphold confidentiality and ensure secure handling of all personnel information.
- Oversee and respond to all general inquiries from hiring panelists.
**Relationship Building and Team Support**
- Build positive and respectful working relationships with hiring leads, supervisors, and community members.
- Represent Seabird Island Band with professionalism, humility, and respect in all interactions.
- Participate in HR team projects, learning sessions, and continuous improvement initiatives.
- Contribute to maintaining a positive, culturally safe, and inclusive workplace culture.
**Other Duties**

**What you bring**
**Education and Experience**
- High School Diploma or GED required.
- Minimum one (1) year of administrative, customer service, or human resources experience.
- Experience supporting recruitment, onboarding, or general HR processes.
- Proficiency with Microsoft Office 365 (Outlook, Word, Excel, Teams).
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
- Excellent interpersonal and written communication skills.
- Ability to maintain confidentiality and professionalism when handling sensitive information.
**Preferred Qualifications**:
- Certificate, diploma, or coursework in Human Resources, Business Administration, or a related field.
- Experience using HR software or applicant tracking systems (e.g., BambooHR or similar).
- Experience supporting or coordinating job fairs
