**What you will do**:
Reporting to the Manager of Building Services & Corporate Security in the Facility Design & Management Services (FDMS) division, your primary responsibilities will include, but are not limited to the following:

- Coordinates and schedules all legislated inspections for City facilities and organizes recommendations/ corrective action work orders
- Logs electrical work orders in Electrical Safety Authority (ESA) Continuous Safety Service (CSS) portal and coordinates follow-up work/ re-inspections with ESA
- Coordinates and logs boiler and pressure vessel (BPV) inspections and changes in the Technical Standards & Safety Authority (TSSA) portal and coordinates follow-up work/ re-inspections with TSSA
- Ensures all TSSA licenses (i.e. elevators) are up to date and coordinates posting of licenses as required
- Coordinates cost gathering for inspections and projects, ensures billing is correct and documentation is accurate/ complete and processes purchase order requisitions/ invoice payments while keeping record
- Processes capital project(s) progress draws/ hold-backs and organizes change order documentation
- Coordinates new contract initiation, kick-off meetings and sets up new vendors in Peoplesoft Financials
- Provides cost analysis of maintenance items/ small projects for billing back to tenants/ other divisions
- Administration lead for Computerized Maintenance Management Software (CMMS) - Maximo
- Facilitates any changes in CMMS with Payroll, Asset Management, Maximo Team Lead (FDMS) and Maximo Specialist (IMTS) personnel for data integration and change management of items such as time reporting codes, asset management inventory input and new preventative maintenance schedules
- Communicates key process changes or new features in CMMS to staff
- Gathers and analyzes data from CMMS to develop, maintain and generate reports
- Acts as the lead/ key organizer of electronic file management for FDMS division
- Complete administrative tasks including training coordination, security incident report logging, health and safety tracking, lifting devices scheduling, staff event(s) coordination and other duties as assigned
- This position will also work with the Director of FDMS on key department initiatives, such as: health & safety program (e.g. tracking employee training, development of standard operating procedures/ policies, etc.), assist with onboard
