**Counter/Customer Service Attendant**

**Overview: The Counter/Customer Service Attendant ensures that Sophie’s Pizza customers receive excellent service at all times.**

**This person must be capable of operating in a fast paced and intensely pressurized environment (especially at peak periods) at all times. Answering phone calls, accepting and entering customer orders with accuracy and speed, and being ready to support the cutting and packaging counter position’s needs under demanding conditions are the focus of the role.**

**Key is that all of this must be done with a very cheerful and friendly approach, no matter how busy we become. He/she will project a positive image at all times. This individual is the “voice” of Sophies Pizza on the phone, and most of our customers are calling us for delivery.**

**Duties**:a) Phone - answers calls with a cheerful and friendly Sophies Pizza greeting. Processes orders quickly. Gets all details recorded accurately. Makes an effort to suggestion sell when we have a promotion or new items on the menu, or under management direction.

b) POS operation - quick and accurate entry of information is critical. Knows how the system works (change screens, look ups, history details etc) and can operate it efficiently while on the phone (multi-tasking).

c) Cash handling - accepts credit and cash payments from “over the counter” customers for pick up orders. Processes paperwork (electronic transactions) properly and makes change for cash sales accurately.

d) Packaging orders for pickup - ensures that all orders are accurate as to contents, sides, and condiments, napkins, cutlery etc. Uses the standard Sophies Pizza Packaging Chart to ensure that nothing gets missed and verifies that all requests for “extras” are satisfied.

e) Customer Relations - handles customer comments (especially complaints) with positive attitude and creates fans through recovery actions when ever the opportunity arises.

f) Quality Assurance - visually reviews all finished pizzas as they are cut and boxed looking for flaws or inconsistencies. Rejects any items not up to Sophies Pizza Quality and Presentation Standards. This could include underportioned or poorly distributed toppings, burnt crusts, watches for product temperature issue, especially for delivery items waiting to go out. Hot stays hot, cold stays cold.

g) Counter Set Up - ensures that adequate supplies are ready to go for the shift and replenished as required. Sneezeguards, shelves, beverage display fridge, and cash area countertops free from clutter and sparkling clean. Marketing materials must be visibly displayed and well presented at all times. Menu boards, take out menus, logo stickers and Sophie’s Pizza Boxes are arranged and re-filled as required for best presentation. Leaves her/his work station stocked and ready to go for the next shift.

h) Cost awareness - minimizes waste of packaging materials and business supplies. Uses proper items for each purpose. Knows about ways to conserve supplies through re-using items that can be utilized again.

h) Cleanliness & Food Safety - uses proper procedures as approved by for all staff at Sophies Pizza. Demonstrates proper handwashing techniques visibly and frequently. Focuses on the upkeep and cleanliness of the customer service areas at all times.

i) Trains New Employees - when required. Offers information that will help others get up to speed quickly. (menu/procedures/systems/orientation to the facility etc)

j) Administers records keeping and driver payouts with Management approval. Fills in all logs and checklists as directed by Management.

k) May perform additional Administrative duties prior to revenue periods, if trained for same. Examples would be preparing Daily Sales Reports, making bank deposits, obtaining change, and float balancing.

l) Notifies the owner of any operational challenges or equipment troubles in her/his area as these may become evident.

m) Maintains positive communication with all other Sophie’s Pizza employees and has good rapport with customers.

n) Willingly does such other tasks as may be requested or directed by Sophie’s Pizza ownership from time to time.

**Summary**: The Counter/Customer Service Attendant is a very busy person and the “voice” of Sophies Pizza on the phone. He/she is also a friendly face when customers arrive to pick up orders. Image, personality, friendliness and courtesy are key. This position is the critical link for efficient flow at busy times. Almost everything goes in and out through this position, so bottlenecks must be avoided.
