A secret clearance will be required for this role, working out of our Ottawa, ON office.

Responsibilities- Assist new hires to ensure a positive onboarding experience- Ensure new hires has the necessary security clearance- Assist applicants in using the onboarding systems for training, new hire paperwork and online orientations- Contact new hires to gather required onboarding information- Conduct verification of required certification(s)- Communicate new hire details to Payroll, HSE, Project Manager and/or Site Supervisor- Collect paperwork and signatures from new hires (void check, benefits, RRSP, drivers abstract, policies) and update system where required- Verify and validate safety tickets.-
- Deliver company and/or safety orientation LMS training.- Send completed safety documentation or certification to Safety department.- Monitor and advise the HSE department of any missing site-specific required safety training.- Contact new hire to communicate D&A results and provide next steps as per process.- Forward or upload safety tickets, D&A results to Optic and/or to Safety for validation and tracking.- Manage and monitor safety tickets for all hires and book safety training for current employees at the request of site managers.

What We Are Looking For- Undergraduate degree or diploma in Human Resources, Business or related field- 1-3 years’ experience in an administrative capacity preferably in a construction, industrial maintenance or similar organization- Experience working in a high pace, high volume onboarding environment for skilled trades and labour positions an asset- Experience working within Workday and SAP is an asset- Previous experience working in an Learning Management Systems, ERP and/or HSE software platforms an asset- Ability to operate within an environment where change happens frequently- Ability to forge, grow and maintain positive relationships with multiple groups- Strong written and oral communication skills, thoughtful, proactive, creative and pragmatic- Able to manage multiple priorities simultaneously and meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment- Ability to work within tight deadlines and prioritization of work to achieve them- Strong analytical, critical thinking, problem-solving skills, and a high degree of accuracy and attention to detail- Strong customer service orientation
