**You are**

The Intake Counselor. You are for the administrative support of the Newcomer Navigation and Support Unit, and for determining basic eligibility to ensure applicants meet the criteria required to receive services from programs at Manitoba Possible.

The Intake Counselor is required to meet multiple deadlines and perform a wide variety of administrative and direct service tasks, which contribute to the efficient operation of the programs and is responsible for handling general enquiries about agency services and assisting callers in linking with appropriate resources, if available.

This position reports directly to the Manager of Newcomer Programs at Manitoba Possible.

**Your Role**
- Determines basic eligibility by ensuring that an applicant meets the eligibility criteria. Reviews medical, neuropsychological, psychological, psychiatric, learning assessments and other reports to determine an applicant’s eligibility.
- Links/re-directs applicants who fall outside the program mandate with/to the appropriate service provider.
- Handles general enquiries about agency services by assisting callers locate appropriate resources, if available.
- Liaises with the appropriate Cultural Resource Facilitator and the Manager, Newcomer Programs to discuss client needs.
- Ensures all relevant documentation is on file for each client.
- Provides core clerical, office administrative and financial functions to support the service delivery by frontline staff and Manager and maintains efficient office operations. Supports the Newcomer Navigation and Support Unit as first contact for client inquiries and messages. Compiles information for file review, obtaining resource information as required.
- Ensures compliance and adherence to privacy and confidentiality as outlined in professional standards of practice, agency, provincial and federal guidelines.
- Maintains monthly statistical information that includes the number of referrals, inquiries, openings, re-directions to other service providers and number of intakes pending at month end. Compiles and distributes statistics according to established protocol.
- Creates and maintains all client electronic and paper files, including the client database.
- Creates and maintains a filing system of office administrative records and documents.
- Continuously prepares and edits documents including correspondence, reports, records, templates, spreadsheets, and brochures.
- Participates in regular supervision and staff meetings.
- Presents to community-based agencies etc. about the Manitoba Possible Newcomer Navigation and Support Unit as requested.
- Works in cooperation with collaterals and maintains a positive profile in the community. Develops and maintains productive and harmonious relationships with clients, co-workers, and the public.
- Participates in professional development activities to maintain knowledge of current issues and trends in services and programming for newcomers.
- Acts as liaison with other Manitoba Possible departments.
- Provides administrative support to volunteers and students and/or orientation to new staff as required.
- Daily handling of incoming and outgoing mail.

**What You Know**
- Undergraduate degree in a related discipline with experience working in a social services agency. A combination of education and experience will be considered.
- Knowledge of disabilities, medical diagnosis and associated functional limitations is an asset.
- Strong communication skills.
- Excellent computer skills using Microsoft Office and working with databases.
- Ability to prioritize workload in an effective manner.
- Ability to work well individually and as a team member.
- Familiarity with the settlement sector in Winnipeg.
- Bilingual - French & English is an asset.
- French language skills are an asset.
- American Sign Language (ASL) is an asset.
