POSITION TITLE: Member Services Coordinator
REPORTS TO: Program Manager
POSITION TYPE: Part-time (Sept-April) & Full-time (May-Aug)
COMPENSATION: $22/hour
**BACKGROUND**
Guelph Soccer operates as a non-profit soccer club in the City of Guelph and wishes to offer its members the highest possible administration support to meet the expectations of the athletes, coaches and parents of Guelph Soccer’s programs.
**JOB OVERVIEW**
The Member Services Coordinator is a vital role within the organization with the principal responsibility of customer service and program administration. The Member Services
Coordinator is dedicated to meeting the expectations of our members. This role is a key member of our team and will be integral to executing our programs year-round.
**OVERALL ACCOUNTABILITY**
1. Client Services and Communication Responsibilities
- Process and assist customers with all program registration, including payments, questions, and/or concerns.
- Provide solutions to concerns and report any issues to Program Manager.
- Assist with player and volunteer requests and inquiries for Guelph Soccer programs specifically house league and community programs.
2. Administrative Responsibilities
- Administer and prepare team start up packages.
- Manage the creation of team rosters utilizing the approved club management software.
- Oversee equipment handout.
- Create schedules for all leagues.
- Oversee and administer the setup of online registration for all programs.
3. Event Management
- Lead, organize and manage Guelph Soccer events including, but not limited to:
Open Houses, Guelph Soccer Day, Year End HL Festival and Tournament.
- Build overall project work plan(s) to be approved by the Program Manager.
- Recruit volunteers to meet the resource requirements of the events.
- Support and liaise with all Guelph Soccer staff and volunteers on a variety of tasks, as needed.
4. Program Support
- Lead and supervisor part time on-field staff.
- Assist with onboarding and training on-field staff.
- Assist with staff scheduling and provide on field coverage, as necessary.
- Provides excellent customer service to coaches, parents, and players.
- Act as an ambassador for the organization, handling any questions or conflicts that may arise on field.
- Provide administrative support to the Program Manager and all other staff when necessary.
5. Other duties as may be assigned from time-to-time by the Executive Director.
**Qualifications**:
- Strong customer service and communication skills; verbal, written, listening.
- Effective time management and priority setting practices.
- Strong service ethic, interpersonal and customer service skills.
- Must be team-oriented, able to work collaboratively and independently.
- Resourceful and good problem-solving skills: able to recognize potential problems and initiate appropriate preventative action.
- Knowledge of MS Office (primarily Excel, Word, MS Outlook).
- Ability to work evenings, weekends, and some holidays required.
- Knowledge of soccer or sport leagues.
- Valid driver’s license.
- Access to a vehicle.

**Education**:
- Secondary School (preferred)
**Experience**:
- Customer service: 1 year (preferred)
