Job Summary
UBC has embarked on a multi-year journey to transform its academic and administrative support processes and system environments for the entire UBC community. In November 2020, UBC successfully went live with its new HR and Finance implementation of Workday. The Integrated Renewal Program (IRP) is now focused on the journey to renew the Student information ecosystem, anchored by the implementation of Workday Student.
The Integrated Renewal Program—Student (IRP Student) vision is to transform the way UBC supports learning and research, and how UBC works, to create a cohesive, integrated, and enriched experience for students, staff, and faculty. This implementation will result in superior support for UBC students, a better user experience, a new set of tools, a new way of working, and improved reporting for informed decision-making. IRP Student will leverage the industry-leading cloud enterprise solution Workday to replace our current core Student administration systems with a new integrated, user friendly, mobile-enabled platform.

The Business Analyst II on the Student team leads the assessment of client needs in an effort to align business initiatives with information technology solutions. The Business Analyst II on IRP's Student Delivery team will provide expertise in the areas of requirements definition, business process analysis and design, functional design, data, functional specifications for integrations and reporting configuration, implementation, testing, training and documentation to deliver enterprise solutions to the UBC community. Majority of work will be performed in a formal project team. This project has a high degree of complexity, influence, and impact as our solution is designed for the majority of constituents in the UBC community.
Organizational Status
The Business Analyst II reports to an assigned Project Manager of the project they are assigned to within the Integrated Renewal Program. The Business Analyst II works closely with management and staff in other IRP workstreams, and other administrative and academic units. Strategic or day-to-day direction on work performed may also be provided by Senior Business Analysts, Senior Manager or Director, Student Solution.
Work Performed
Specific Duties:
- Conducts workflow and gap analysis for operational support processes
- Performs analysis and identification of requirements for data, reporting and integrations
- Supports technical data conversion team in the specification of data conversion mapping, crosswalks, conversion logic and validation of data conversion
- Supports technical integrations team in the understanding of functional processes, process and data requirements of integrations, and validation of integration testing
-Supports technical reporting team in the understanding of functional requirements, data and reporting requirements
- Acquires and maintains a working knowledge of the university's technical and business environment.
- Understands key technical environments to effectively identify integration, security, scalability, and performance requirements
- Builds and maintains good working relationships with project teams, business analyst peers, stakeholders, and vendors
- Analyses the impacts of proposed changes to technology services and or processes within the UBC community.
- Collaborates with technical data conversion, reporting and integration teams to provide functional information
Core Duties:
-Leads the assessment of client needs utilizing a structured requirements process (gathering, analyzing, documenting, and managing changes) to identify business priorities and recommends options.
-Identifies, elicits, and documents business requirements, defines business rules and communicates requirements for the implementation of business solutions.
-Communicates with stakeholders of varying technical ability and subject matter expertise.
-Leads short-term planning sessions to implement integrated business process improvements and documents discussion and agreements.
-Provides consultative services for the development of policies and procedures.
-Analyzes metrics to ensure for client satisfaction.
-Provides input to feasibility studies for standard development projects and enhancements.
-Provides technical guidance and leadership to less-experienced individuals.
-Prepares functional, system and program specifications.
-Develops user test cases and validates test results during user acceptance testing and system acceptance testing stages. Typically performs functional testing.
-May prepare project status reports and communicate status to client.
-Maintains appropriate professional designations and up-to-date knowledge of current information technology techniques and tools.
-Performs other related duties as required.
Consequence of Error/Judgement
Decisions and actions taken by the Business Analyst II will have a direct impact on how efficiently and effectively the systems and processes will perform and function. Errors in judgment, poor analysis, or failure to act decisively could have a detrimental effect and adversely impact the university community, affecting up to tens of thousands of students, faculty and staff, and could result in lost productivity, funding and revenue.
Supervision Received
The Business Analyst II reports to an assigned Project Manager of the project they are assigned to within the Integrated Renewal Program. Strategic or day-to-day direction on work performed may also be provided by Senior Business Analysts, Senior Manager or Director, Student Solution.
Must be able to work independently as well as contribute actively and collaborate openly as a team member.
Supervision Given
In general, provides mentoring and coaching to new or less experienced business analysts, as well as provides leadership and education to other staff in the Student team on demonstrated areas of expertise. May supervise work of other business analysts on the project.
Minimum Qualifications
Undergraduate degree in a relevant discipline. In-depth knowledge of applications and the business requirements supporting them. Minimum of five years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
- Experience in software implementation projects in a business analyst role is preferred.
- Experience in producing business analysis deliverables such as: BRDs, use cases, user scenarios, user stories, BPMs.
- Strong knowledge of business process mapping and improvement/re-engineering. Knowledge of BPMN.
- Experience facilitating groups to achieve an appropriate outcome
- Knowledge of data analysis and data modeling conceptual, logical
- Experience with data conversion of enterprise systems
- Experience with implementing integrations between enterprise systems
- Experience with specifying and writing reports for business stakeholders
- Working knowledge project management, quality assurance and change management disciplines
- Solid understanding of key trends and players in the IT industry and higher-education sector.
- Excellent organizational, planning, and prioritization skills. Able to multi-task and deliver multiple assignments in a fast-paced and changing environment.
- Superior interpersonal skills. Proven ability to work effectively and diplomatically with a wide range of individuals at all organizational levels.
- Demonstrates the willingness, ability, and enthusiasm to learn new processes, methodologies or technologies.
- Proven knowledge and continuous learning of business analysis discipline and best practices, and demonstrated contributions to practice improvement.
- Experience on an enterprise level implementation project is an asset.
