We’re hiring an Operations Coordinator to act as the central hub of daily operations. This in-office, full-time role ensures installation crews are prepared each morning, inventory is accurate, and Sales and Marketing teams have the operational support they need to succeed.MissionKeep the business running smoothly by coordinating operations, inventory, sales support, and marketing execution. Your success is measured by prepared crews, accurate inventory, timely client communication, and responsive internal support.What You’ll DoOperations & LogisticsAssist with shipping, receiving, inventory tracking, and daily crew material stagingWork closely with the Project Manager and Purchasing/Logistics Coordinator to ensure timely project updatesCoordinate logistics to support smooth job execution and client communicationSales SupportSupport the sales team with product research, pricing, and quote preparationCreate basic CAD layouts for sales proposalsHandle inbound client inquiries and small-value ordersMaintain CRM updates for client activity and sales trackingMarketing CoordinationCapture job site photos and videos and edit for website and social media useDraft blog posts and project descriptions in a natural, customer-friendly toneCoordinate tasks and deliverables with external marketing agenciesUse AI tools to assist with marketing content and executionKey ResponsibilitiesInventory & Logistics OperationsManage shipping, receiving, and inventory trackingStage all materials daily so crews are fully prepared each morningSmall Order ManagementIndependently manage client inquiries and process small orders without active sales involvementTechnical SupportCreate basic CAD drawings for courts, concrete layouts, and gym floorsAssist with product research and alternative solution developmentMarketing & Content ExecutionEdit job site photos and videosDraft blog content and coordinate marketing deliverablesAccounting & AdministrationSupport accounts receivable, data entry, and basic reportingCommunicate with clients regarding past-due invoices when neededCross-Department CoordinationWork closely with Sales, Project Management, and Purchasing to maintain workflow efficiencyRequirementsKey AttributesAdaptable and comfortable switching between tasksDetail-oriented with numbers, specs, and documentationProactive and solution-focusedOrganized and deadline-drivenTech-savvy and quick to learn new softwareCustomer-focused and service-mindedAccountable and ownership-drivenSuccess VitalsKey GoalsMaintain 99% inventory accuracyStage all crew materials by 5:00 PM the day beforeRespond to small client inquiries within 1 business dayComplete CAD layouts and preliminary quotes within 48 hoursDraft 2 blog posts per month and update website photos weeklyFirst 90 DaysMaster inventory systems and daily crew staging routinesLearn internal software platforms (CRM, project management, shared drives)Independently create basic quotes and CAD layoutsEstablish a consistent rhythm for marketing content and website updatesBenefitsPaid time off (PTO) and company holidaysFull benefits packageStable, full-time in-office roleOpportunities for professional growth and expanded responsibilitySupportive, collaborative team environment
