Whether issuers need help with Corporate Actions, Investor Service, or planning Investor Meetings, our services are tailored to make their transactions a success. The Operations Department is responsible for record maintenance and affecting transfers, issuance of shares and reconciliation of capital. The role of the Administrator operations is key to ensuring transfer requests are logged and distributed in a timely and efficient manner so that workflow and turnaround time requirements are met. The administrator collaborates with the other functions with the Operations department, while balancing volumes and priorities.Key Accountabilities:Identify, log and process incoming and outgoing correspondence.Responsible for preparing and logging incoming transfer instructions in the system for efficient processing.Prioritise processing of items with regulatory requirements to ensure complianceRespond promptly to daily inquiries from internal clients, ensuring timely and accurate assistance.Develop a thorough knowledge and understanding of the services offered by clients to their security holders and keep up-to-date on circumstances which affect the security holders especially security transfer requirements.Maintain and provide monthly statistics for fee and performance reporting purposes.Ensure compliance with policies, procedures and regulatory requirements.Keep operational procedures and guidelines up-to-date and enrich them whenever neededHelp further strengthen the risk framework by acting as first line of defense and implementing relevant controlsHelp streamline the process flows and develop initiatives to increase the added value for the clients, their shareholders and the companyOther duties and responsibilities as assigned.Must Have(s):1 to 3 years working experience in an office environment, an asset Proficient in Microsoft Office and Google suite applications Bilingual English/French, an asset (contacts and collaboration with clients and colleagues English only)Communication: excellent written, verbal and listening skillsOrganization & Detail Oriented: strong organizational skills and attention to detail.Ability to organize and prioritize tasks and effectively communicate with peers and all levels of the companyClient Focus: develops and maintains strong relationships with internal and external clients. proven ability to understand clients’ needs and develop the appropriate solutionsConfidentiality: show discretion and ability to handle confidential issuesAdaptability: flexibility to work on a wide range of tasks and ability to prioritiseDecision & Problem Solving: strong decision making and problem solving skillsInterpersonal skills / Teamwork:diplomatic manner and disposition when interacting and working with others: clients, co-workers and management. Independent worker: high level of self-motivation and at ease working independently when necessary, must have a flexible schedule to work overtime as requiredNice Have:Working experience in Transfer Agency, an asset In the market for…Excitement - Explore emerging technology and innovation, as well as ventures and digital finance that shape the future of global markets Experience the movement of the market while grounded in the stability of close to 200 years of success.Connection - With site hubs in some of the world’s most multicultural cities, we leverage our size and structure to create rich connections and belonging while experiencing powerful global impact through our work.Impact - More than a platform, we use our talents to power mission-critical systems that drive global economic advancement, innovation, and growth.
