Job DescriptionThe Outpatient Rehabilitation Department includes multiple outpatient programs and services that support the community in achieving rehabilitation goals. Outpatient Rehabilitation programming is available at Oakville, Milton, and Georgetown sites. The Clerk will be responsible for the daily registration and bookings, appointment coordination, order entry, flow and clerical data management to support the various functional clerical responsibilities of and other areas within the Outpatient Rehab Program as required. Major responsibilities include collaboration with the program team in the coordination of patient scheduling, liaising with patients, managing and triaging referrals for the clinical teams in order to meet wait time targets. Use of multiple software systems such as Meditech Expanse, Practice Perfect, and Community Wide Scheduling is required.This is what you’ll be doing:Front office clerical functions such as patient reception and registration, appointment bookings, processing of payments, filing, communication with physicians, staff, patients, and visitors as well as telephone enquiries and other general office duties. Working in collaboration with the Outpatient Rehab team to ensure a high standard of quality patient care and experience is deliveredLiaising and working with the Outpatient Rehab Manager to ensure clinic are hitting timelinesUtilizes effective problem solving and conflict resolution skills in the ongoing promotion of quality care outcomesParticipates in the unit orientation program for new staffDemonstrates strong prioritizing skillsPerforms other duties consistent with the job classification as requiredQualificationsOffice administration diploma from a recognized college or equivalent experience requiredMinimum of 1 year of experience working in a comparable position preferredProficient in the use of Microsoft Office applications including Outlook, Word, and ExcelMinimum of 30 wpm typing speed requiredMust have fast and accurate data entry skillsExperience using patient related databases preferred, MeditechMust be able to prioritize workload and function independently in a busy environmentGood interpersonal, organizational and communication (verbal & written) skillsGood customer service skills and problem resolution skillsAccurate data entry skillsDemonstrable critical thinking skills, multi-tasking and prioritizing skillsAbility to manage emotionally charged situations in a fast-paced environmentExcellent interpersonal and written and oral communication skillsAbility to work within a multidisciplinary team environmentAble to diplomatically respond to inquiries from staff, volunteers, patients, family members and members of the general publicMust be able to read, write, speak and understand English fluentlyMust be physically able to perform the job: prolonged periods of time sitting; standing; walking; and pushing and pulling variety of wheeled equipment.Satisfactory employment and attendance record required Additional InformationHours: Monday to Friday - Various rotating hours shifts between 0800-1900 (hours subject to change based on operational needs)Salary: $ - $ per hourDate Posted: December 16, 2025Internal Applications Due By: December 23, 2025REF3020N
