The library supports research and study by housing an extensive network of scholarly materials in many formats. Recognizing that Black, Indigenous, and other Racialized communities have experienced inequities that have developed historically and are ongoing, we strongly welcome and encourage candidates from those communities to apply. Your opportunity:Under the supervision of the Finance & Business Officer and the Library Operations Coordinator & Assistant to the Chief Librarian, the Financial Assistant and Library Operations Assistant is responsible for processing financial and payroll related documentation for all employee groups in the department. The incumbent supports the Business Officer in setting up, updating and maintaining FIS and HRIS information, collating financial reports from FIS and assist with end of month reconciliations, and investigates and corrects any financial discrepancies. They will perform a range of duties related to financial processing, report generation, and tracking as well as some general financial administration. In addition, this position will assist the Operations Coordinator and Administrative Assistant to the Chief Librarian on tasks related to library operations such as mail delivery and execution of plans for events. Your responsibilities will include: Recording detailed transactions for many accountsMatching source document information to records in FISPreparing and/or processing journal entries and expense reimbursementsObtaining required authorizations and signatures to process financial documentsApplying the University Guide to Financial Management and other applicable policies, agency and regulatory requirementsDistributing incoming and outgoing mail, deliveries, and maintaining filing systemsOrganizing materials for workshops, conferences and/or eventsIdentifying and resolving individual financial discrepancies Essential Qualifications: Advanced College Diploma (3 years) in accounting or related field or acceptable combination of equivalent experience.Minimum two (2) years of related experience providing financial and administrative support.Demonstrated understanding of financial management procedures, accounting principles and procedures, and an ability to accurately interpret and apply guidelines, procedures and regulations.Experience updating databases and generating reports.Experience compiling, sorting and organizing financial data.Experience preparing and processing journal entries.Experience with recording and reconciling transactions for accounts.Demonstrated experience using FIS and/or HRIS or similar SAP systems.Demonstrated experience with processing financial transactions and analyzing data discrepancies.Applicants are expected to show evidence of a commitment to equity, diversity, inclusion, and the promotion of a respectful and collegial learning and working environment.Advanced skills in Microsoft Office (e.g. Excel, Word and Outlook).Excellent problem-solving and customer service skills.Strong analytical skills and detail-oriented with a high level of accuracy.Excellent organizational and interpersonal skills. Assets (Nonessential): Knowledge of the University Guide to Financial Management and other applicable policiesExperience in an academic library To be successful in this role you will be: CooperativeDiligentEfficientMotivated self-learnerOrganizedPatient Closing Date: 01/19/2026, 11:59PM ETEmployee Group: USW Appointment Type: Budget - Continuing Schedule: Full-TimePay Scale Group & Hiring Zone:  USW Pay Band 07 -- $60,237. with an annual step progression to a maximum of $77,035.
