You are an ambitious subcontracts professional who will be responsible for providing administrative support to ensure effective subcontract and procurement management. This includes the onboarding of subcontractors, drafting subcontracts, work orders, and amending agreements, reviewing insurance certificates, and managing databases. You will also be responsible for the completion of commercial negotiations for an exciting GO Transit project. You will be required to work out of the downtown Toronto office and transition to the site office in Durham Region by mid-2025.

Essential Responsibilities:

  • Negotiate and manage vendor and service provider agreements
  • Assist with special requirements such as project duration RFPs, progress reviews, and primary Client liaison
  • Develop and perform project audits for the application of procurement processes
  • Source, develop and build effective vendor and service provider relationships
  • Establish, monitor and update key performance indicators (KPIs)
  • Assist with maintaining subcontractor and client contract databases, including uploading final, fully executed documents
  • Administer, review and track subcontractor onboarding processes including insurance documentation, and bonds, to ensure they are complete and meet the contractual requirements.
  • Assist Directors and Project Managers with client contract management, execution, records management, general formatting and editing of documents
  • Manage subcontract notifications, work orders, terminations
  • Enter information into subcontracts, work orders, amending agreements, NDA’s, and leases using existing templates

Qualifications:

  • 3+ years of civil construction experience as a Project Coordinator, Procurement Coordinator, or Subcontracts Coordinator
  • Prior experience working with contracts, record management, and certificates of insurance
  • Project experience working on rail transit, highways, bridges, roads, or other infrastructure projects is required
  • Experience working on large-scale infrastructure projects for a General Contractor in Canada
  • Completion of post-secondary education in civil engineering or a related field is required
  • Strong knowledge of Design-Build or Collaborative Contract models is an asset
  • Ability to manage records effectively and maintain strict confidentiality when necessary
  • Strong computer background including experience with MS Word and Excel
  • Effective communication skills, confident interacting with key contacts in verbal, written and electronic form

Working Conditions:

  • Site & Office based position. You will be required to work out of the downtown Toronto head office from Monday to Friday until the project is in the construction phase, mid-2025. Once on site, you will be required to work full-time on site in the Durham Region.
  • Occasional travel to downtown Toronto office will be required for the duration of the project
