Project Control Officer – Intermediate (Contract)Location: Thunder Bay, ON Work Arrangement: Hybrid (up to 3 days onsite, subject to manager discretion) Contract Duration: Approximately 6 months Start Date: Late January 2026 End Date: Late July 2026 Number of Openings: 1About the OpportunityWe are seeking an Intermediate Project Control Officer to support a regional team focused on health system planning, design, and implementation. This role provides administrative, coordination, and project control support to leadership and project managers, helping ensure effective planning, communication, and execution of key initiatives.The successful candidate will be highly organized, detail-oriented, and comfortable supporting multiple stakeholders in a fast-paced, professional environment.Key ResponsibilitiesSupport leadership and project teams in coordinating, planning, communicating, and executing core project deliverablesPrioritize, research, analyze, and summarize information to keep leadership informed of key issues and activitiesAct as a central point of contact between leadership and internal/external stakeholdersManage the flow of communications, ensuring requests are prioritized, coordinated, and delegated appropriatelyCoordinate calendars, meetings, presentations, and preparation of briefing materialsPrepare reports, summaries, correspondence, and project documentation (some confidential)Maintain project documentation repositories, ensuring records are current, accurate, and completeTrack project progress, action items, risks, and reporting logsSupport project managers by providing updates, identifying risks, and escalating issues when requiredAttend meetings, working groups, and committees as requiredAssist with travel coordination, outreach planning, and cross-regional coordination activitiesManage competing priorities and deadlines with a proactive, hands-on approachRequired Qualifications (Must Have)3+ years of executive or senior administrative experience5+ years of experience supporting multiple individuals in a professional environment5+ years of experience scheduling meetings and managing calendars5+ years of experience demonstrating strong organizational, time management, and attention-to-detail skillsProven ability to work effectively with diverse internal and external stakeholders while delivering excellent customer serviceStrong verbal and written communication skillsProficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and MS Teams document repositoriesNice to HaveExperience working in the public sector or broader public service environmentExperience supporting healthcare, health system, or health-related organizationsExperience working in large, complex, or multi-stakeholder organizationsDesired Experience & SkillsCollege or university degree, or equivalent combination of education and experience5–10 years of experience supporting senior leadership or executive-level initiativesDemonstrated ability to prioritize and manage competing demands in a high-pressure environmentExperience in internal and external communications and partnership coordinationExperience maintaining project budgets, progress reports, risk logs, and action item trackersExperience developing and maintaining project status reportsStrong accountability, professionalism, and follow-throughEvaluation CriteriaCandidates will be assessed across the following areas:Communication skills (verbal, written, listening, conflict resolution, stress tolerance)Time management and multitasking abilitiesAccuracy and effectiveness in creating and maintaining project documentation and reportsProficiency with Microsoft Office and collaboration toolsExperience working with multiple internal and external stakeholdersCalendar management, meeting coordination, and preparation of leadership materialsHealthcare or health system exposureAdditional InformationThis role is based in Thunder Bay, OntarioHybrid work arrangement with some on-site presence requiredContract position with a defined term and possibility of evolving responsibilities based on project needs
