Financial Administrative Assistant

At AppleOne, we are seeking a highly skilled Financial Administrative Assistant to join our team. This role is responsible for providing administrative support to our financial services team, ensuring the smooth operation of daily business transactions, and maintaining accurate records.

Key Responsibilities:
  • Process and review daily business transactions, including client account management and payment processing.
  • Paying regular invoices and monthly credit cards, while ensuring timely and accurate payments.
  • Process tax installments on behalf of client businesses, maintaining compliance with regulatory requirements.
  • Sort and distribute incoming mail, maintain email correspondence, and update client files and paperwork.
  • Prepare and maintain client files, meeting notes, and action items, ensuring seamless communication and follow-up.
  • Maintain and analyze client investment account records, providing insights for informed decision-making.
  • Collect and prepare loan applications, ensuring accuracy and completeness.
  • Track and follow up on regulatory and compliance matters, ensuring adherence to industry standards.
  • Confirm client appointments, ensuring timely and efficient scheduling.
Requirements:
  • Diploma or post-secondary degree in a relevant discipline or equivalent experience.
  • Minimum 2 years' experience in the financial services industry or banking, with excellent computer literacy.
  • Proficiency in Excel, Gmail, Google Drive, Windows, and Adobe for PDF editing and management.
  • Customer service-oriented, with a focus on delivering exceptional support.
  • Professional designation or willingness to acquire one, such as CFP, CPA, PFP, or CSC.
