Financial Operations Specialist

The Financial Operations Specialist will play a critical role in supporting the Finance department at North Island College. This position is responsible for ensuring the accuracy and timeliness of financial transactions, as well as providing exceptional customer service to internal and external stakeholders.
Key Responsibilities- Perform accounts receivable functions, including coding verification, data accuracy, and document distribution.
- Follow up on outstanding accounts receivable and prepare statements of account as needed.
- Maintain effective professional relationships with customers, sponsors, and funding partners.
- Liaise with College staff regarding invoicing and receivable status.
- Resolve telephone inquiries regarding invoicing and assist Registration Assistants as needed.
- Assist with the administration of the Colleague AR and GL systems.
- Reconcile assigned balance sheet accounts, investigate differences, and take corrective action.
- Reconcile College bank accounts monthly.
- Manage payment provider inquiries for Registration Assistants and Students.
- Monitor incoming wire payments and communicate with Registration and International departments.
- Implement solutions to correct financial errors and billing issues.
- Review student disbursements to ensure compliance with College policies and procedures.
- Education contracts - review and monitor terms, prepare invoicing or GL transfers as needed.
- T4A processing and distribution.
- Answer inquiries from Student Services, International Education, and Student Records Office.
- Support the Office of Global Engagement department with denied Study Permits.
- Analyze revenues and expenditures to create monthly deferrals/accruals.
- Document and maintain supporting working papers.
- Assist the Manager of Financial Services with banking functions, general ledger work, and external reporting.
- Prepare and file GST and PST remittances.
- Complete full cycle accounting procedures for the North Island College Foundation.
- Assist with year-end procedures and Audit of the Foundation.
- Perform system testing of the financial database.
- Perform relief Reception duties on a rotating basis.
- A minimum of three years post-secondary education in an accredited Charted Professional Accountant (CPA) Professional Education Program (PEP).
- Three years of accounting experience in an organization of substantial size, preferably in a public sector environment.
- Intermediate working knowledge of MS Office suite, including Excel and Word.
- Excellent analytical and creative problem-solving skills.
- Experience working with a large financial database; Colleague experience considered an asset.
- Comprehensive knowledge of accounting and accounting standards (PSAB), preferably in a public sector environment.
- Excellent interpersonal, oral, and written communication, and customer service skills.
- Ability to positively contribute in a team environment and work independently with minimal supervision.
- Strong attention to detail and accurate data entry skills.
- Strong organizational and time management skills.
