Job Summary

Bureau Veritas Group is seeking a highly organized and detail-oriented individual to join our team as a Sample Receptionist. As a key member of our laboratory team, you will be responsible for ensuring the efficient and accurate processing of samples, as well as maintaining a high level of quality and customer satisfaction.

Key Responsibilities
  • Input sample information into our computer database with precision and speed, adhering to established Standard Operating Procedures (SOPs) and Work Instructions (WIs).
  • Ensure all client orders are entered in a timely and accurate manner, processing necessary paperwork and notifying project management as required.
  • Verify the accuracy of information for all in-house projects, including test codes, project references, and other relevant details.
  • Maintain a high level of departmental workflow, prioritizing tasks and meeting deadlines in a fast-paced environment.
  • Proactively ensure overall client satisfaction, communicating effectively with project management and supervisors as needed.
  • Investigate and resolve outstanding issues or jobs through collaboration with departmental colleagues.
  • Work closely with customer service staff to grow our regional market share with existing and new clients.
  • Utilize innovative and proactive methods to ensure core performance standards and business goals are achieved, as measured by scorecards, coaching sessions, and key performance indicators.
  • Streamline departmental processes and procedures, ensuring consistency and maximizing efficiencies while maintaining a focus on quality, innovation, and continuous improvement.
  • Attend regular team meetings to share corporate and departmental information, communicate, and share ideas.
  • Ensure 'Good Housekeeping' standards are met or exceeded.
  • Adhere to Bureau Veritas Code of Ethics Policy and support and comply with all Bureau Veritas policies, Quality System, and Health & Safety program.
  • Participate in lab and health and safety meetings, as well as internal and external audits, as requested.
  • Keep work areas clean, neat, and organized.
  • Provide general laboratory support.
  • Maintain training records and relevant qualifications.
  • Perform other responsibilities as assigned.
Requirements
  • Post-secondary education, preferably in sciences.
  • 2 years of experience in a Sample Entry or related role within the laboratory.
  • Excellent organizational, leadership, communication skills (both written and verbal), and detail-oriented.
  • Energetic personality that can work independently and as part of a team.
  • Ability to work well under pressure in a multi-tasking fast-paced environment.
  • Ability to work independently as well as engage others when required in escalation of concerns to meet client needs or to best manage client disappointments.
  • Committed to working in a team environment, demonstrating a positive approach.
  • Demonstrates refined problem-solving, decision-making, and conflict resolution skills, along with ownership for all inquiries from internal/external customers.
  • Computer literate (Microsoft Word, Excel, PowerPoint, Outlook, Acrobat Reader).
  • Keyboarding skills: minimum 60 wpm with an accuracy level of 95% or higher.
  • The job incumbent must be available for shift work, working on weekends and overtime.
Working Conditions
  • High level of work production in a fast-paced laboratory environment.
  • May require flexible working hours, overtime, and shift work.
  • May involve long periods of standing.
  • Hazardous materials are handled using established safety procedures and appropriate PPE.
  • Lifting and carrying over 40lbs.
