Job Summary

We are seeking a highly organized and detail-oriented Procurement Office Administrator to join our team at Winpak Ltd. The successful candidate will be responsible for managing procurement-related tasks, maintaining accurate records, and ensuring compliance with ISO standards.

Key Responsibilities
  • Procurement Management: Collect, consolidate, and distribute procurement-related reports, maintain file structure and data retention for physical and electronic procurement records, and enter procurement-related data into the ERP system.
  • Supplier Management: Perform procurement duties and replenishment ordering within assigned dollar values, manage supplier activities within categories, and create and update team training checklists and internal training presentations.
  • Inventory Management: Monitor and distribute Inventory/Consumable supply lists to appropriate procurement focal, and track and resolve issues related to requisition preparation, requisition tracking, purchase order placement, supplier delivery, supplier payment, and invoice discrepancies.
  • Communication: Prepare shipping documents for supplier returns and/or material shipments to suppliers, label preparation for subcontractors, and distribute Purchase Order records internally and to Suppliers.
  • Quality Assurance: Assist the procurement team in the preparation of supplier quality claim letters and ensure database accurately reflects the most recent claim status.
  • Administrative Support: Maintain and organize procurement information on the department Intranet site and procurement SharePoint records, schedule and organize team training events, meetings with internal functions and suppliers, and track and coordinate authorization for procurement card spend.
Requirements
  • Education: Grade 12 diploma or equivalent, Administrative Assistant or related business administration program (diploma or certificate) or equivalent.
  • Experience: Previous filing, data entry, report creation, and document management experience, intermediate or better level in Microsoft programs such as Word, Excel, PowerPoint, and Teams, and 2-4 years experience in a manufacturing environment and/or procurement-related function.
  • Abilities: Ability to deal with all internal levels of the organization as well as external suppliers, ability to learn new software and/or upgrades to existing software easily, ability to work with tight deadlines, and able to negotiate best outcome/options for company when working with suppliers.
