Client Operations Coordinator Specialist

Aird & Berlis LLP is a prominent Canadian law firm located in the heart of Toronto's financial district.
We are seeking an experienced Client Operations Coordinator to join our team. This individual will be responsible for conducting database searches, preparing and reporting findings, and ensuring firm and Law Society requirements are met.
Key responsibilities include:
- Conflict checking: Conducting database searches for new clients and matters, and preparing and reporting findings to initiating lawyers or patent agents.
- Reviewing engagement letters for compliance with firm policies.
- Opening new clients and matters, ensuring firm and Law Society requirements are met.
- Cross-training functions within the department.
- Liaising with patent agents, lawyers, and assistants.
- Producing high-quality work.
- Being accountable for all assigned work.
The ideal candidate will have at least one year of experience as a conflict administrator, legal assistant, or law clerk. Previous administrative work experience related to patent, accounting, and/or billing functions is also an asset. Experience in a legal or professional services setting is strongly preferred.
This role requires strong communication skills, attention to detail, and the ability to work well independently and as part of a team. The successful candidate must be able to handle time pressure situations and stress associated with multiple demands.
We offer a competitive compensation package, including a salary range of $50,000 - $65,000 per year, depending on experience. Additionally, we provide opportunities for growth and development, mentorship programs, and wellness initiatives.
