At Hall Constructors, we are seeking an experienced Equipment Administrator to join our team. As an Equipment Administrator, you will play a key role in supporting our Equipment Division by managing and coordinating administrative tasks.

The successful candidate will be responsible for managing employee timecards, creating and auditing work orders, data entry, generating reports, tracking purchase orders, and maintaining documentation. This role works closely with our maintenance team, equipment coordinators, and management to ensure smooth administrative operations.

Key responsibilities include:

  • Managing and submitting employee timecards in a timely manner
  • Creating and auditing work orders for accuracy
  • Inputting, tracking, and maintaining accurate equipment data
  • Generating bi-weekly and monthly equipment reports
  • Tracking and managing purchase orders
  • Maintaining safety documentation
  • Managing procurement of office supplies to ensure smooth operation

Requirements:

  • At least 2 years of experience in office administration or a similar administrative role (preferred)
  • High school diploma required; post-secondary education in business or a related field is preferred
  • Knowledge of the heavy equipment or automotive industry is an asset
  • MUST be qualified to work in Canada

Technical skills required include proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint), strong time management skills, ability to multi-task effectively in a fast-paced environment, excellent verbal and written communication skills, superior spelling and grammar, and exceptional attention to detail.

Interpersonal skills required include a collaborative and team-oriented mindset, solutions-focused and proactive approach, ability to work independently and take ownership of tasks, meticulous attention to detail and strong organizational skills, strong problem-solving and analytical skills, ability to maintain professionalism and composure under pressure, and ability to engage professionally with all levels of management.
