About the Role

We are seeking a highly organized and detail-oriented Receptionist to join our team at Aplin and Associates Inc. As a key member of our front-line staff, you will be responsible for providing exceptional customer service and ensuring a smooth day-to-day operation of our office.

Key Responsibilities
  • Greeting and Directing: Greet visitors and direct them to the appropriate contacts or service areas.
  • Information Provision: Provide basic information to clients and the public, ensuring accuracy and professionalism.
  • Customer Service: Obtain and process information required to provide excellent customer service, resolving issues promptly and efficiently.
  • Switchboard Operations: Operate the switchboard or telephone system, handling incoming and outgoing calls with poise and courtesy.
  • Administrative Tasks: Perform various administrative duties, including ordering office supplies, recording and relaying information, scheduling appointments, and maintaining work records and logs.
  • Clerical Duties: Perform clerical tasks, such as filing, sorting, and distributing mail, as well as calculating billing charges and performing data entry.
Requirements
  • Education: Secondary (high) school graduation certificate.
  • Experience: 2 years to less than 3 years of experience in a similar role.
  • Skills: Excellent communication and interpersonal skills, with the ability to work in a fast-paced environment and maintain attention to detail.
  • Computer Skills: Proficiency in MS Excel and MS Word, as well as experience with electronic mail and switchboard systems.
  • Transportation: Public transportation is available.
  • Work Conditions: Fast-paced environment with a focus on teamwork and reliability.
