About the Role

We are seeking a highly organized and detail-oriented Document Control Specialist to join our team at WSP Canada. As a key member of our Industrial and Mining division, you will be responsible for ensuring the accuracy and completeness of project documentation.

Key Responsibilities
  • Develop and implement document control plans, including matrices;
  • Establish and maintain document control procedures and ensure compliance;
  • Manage and control all project documents, including drawings, specifications, and reports;
  • Assist in the management and coordination of deliverables;
  • Develop and maintain a document tracking system;
  • Classify and distribute project documents, both electronically and on various exchange platforms;
  • Manage electronic document management systems and actively participate in continuous improvement initiatives;
  • Ensure the quality of documentation and adherence to established document standards;
  • Receive and track supplier documents;
  • Record, update, store, and make available to various internal and external stakeholders the necessary documents for project execution;
  • Ensure timely production of documents and manage delays;
  • Ensure the availability of a complete and validated final version of project documentation at the end of the project;
  • Prepare the transfer of technical documentation for archiving in the company's central system;
  • Be a resource person for staff on document management-related matters.
Requirements
  • Diploma in Document Technology or equivalent and relevant experience;
  • Minimum 2 years of experience in document control;
  • Proficiency in a document management system (e.g., Sharepoint, BIM 360);
  • Excellent knowledge of the Microsoft Office suite;
  • Ability to learn new software (Windows OS/PC environment);
  • Excellent communication skills, both written and verbal;
  • Familiarity with project management systems and processes;
  • Excellent interpersonal skills;
  • Ability to work with a high degree of autonomy, rigor, and discretion;
  • Strong analytical and problem-solving skills;
  • Flexibility and adaptability;
  • Dynamism and proactivity;
  • Well-developed organizational skills;
  • Ability to work effectively in a team environment.
