About the Role

The Ontario Securities Commission (OSC) is seeking a highly skilled Information Management Analyst to join its Records and Information Management team. As a key member of the team, you will be responsible for launching and leading initiatives that improve the management of records, information, and data at the OSC.

Key Responsibilities

  • Assist the Manager, Commission Records and Information in the development of records information management (RIM) products and tools.
  • Develop RIM products and tools, including strategic documentation, business process maps, corporate recordkeeping policies, metadata standards, records retention and disposition authorities' procedures, and business rules.
  • Lead the governance and user support activities for an enterprise document management system.
  • Conduct research on industry and government RIM standards, techniques, trends, and methods, and analyze these to recommend practicality and effectiveness for OSC use.
  • Create and manage the structure, content, format, and distribution of associated documentation.
  • Provide expert advice and consultation on a wide range of RIM-related matters to support institutional goals and objectives.
  • Liaise with internal stakeholders, including General Counsel, Data Governance, Information Technology, Knowledge Services, Internal Audit, Risk Management, and business owners on behalf of RIM Manager.
  • Liaise with external stakeholders, including Archives of Ontario representatives to support compliance with provincial legislative and policy requirements and guidelines.
  • Assess the information management implications of new technology as applied to business processes and make information management recommendations pertaining to the adoption of new technology.
  • Lead RIM projects, monitor, and report on established performance targets and track progress of planned deliverables.
  • Serve as the primary contact to respond to ad hoc requests for advice and guidance on RIM practices and principles.
  • Assist with the development and delivery of training and communication packages to create institutional awareness and compliance with regulatory and internal policies.
  • Assess the institution's information management training and educational needs, and develop associated tools and training materials.
  • Communicate approved policies, standards, and best practices through the delivery of presentations and the development of communication packages.
  • Prepare background reports, briefing memos, presentation materials on records and information management issues for review by appropriate stakeholders.
  • Assist with the development and update of RIM enterprise risk register and mitigation strategies.
  • Responsible for mentoring and overseeing work product of students and contract staff.
  • Provide back-up to the public records function as needed.
