Job Description:We are seeking a highly organized and proactive Executive / Personal Assistant to support our CEO and ensure seamless day-to-day operations. The ideal candidate will be adaptable, detail-oriented, and skilled in managing multiple tasks efficiently. This role is crucial in supporting our leadership team, maintaining a professional environment, and contributing to a dynamic workplace culture.
Key Responsibilities:- Provide Executive Support: Deliver comprehensive administrative support to the CEO, including managing daily schedules, coordinating meetings, and handling correspondence.
- Calendar and Email Management: Assist in organizing and maintaining the CEO's calendar, scheduling meetings, and ensuring prompt responses to emails.
- Travel Coordination: Plan and arrange travel itineraries, including flights, accommodations, and reservations, ensuring a seamless travel experience for the CEO and other executives.
- Event Planning: Support in planning and executing events, including booking venues, coordinating catering, and managing registrations.
- Document Management: Organize, maintain, and secure both electronic and paper files, ensuring easy access and confidentiality.
- Meeting Coordination: Organize meetings and conferences, prepare agendas, take detailed minutes, and ensure follow-up on action items.
- Confidentiality: Maintain a high level of discretion and confidentiality in all matters.
- Personal Assistant Duties: Provide personal assistance to the CEO, including managing personal appointments, running errands, and assisting with other personal tasks as needed.
- General Support: Assist the executive team with various tasks, including coordinating logistics for meetings, preparing necessary materials, and providing support for day-to-day activities to ensure smooth operations.
- Proven experience as an Executive Assistant or Personal Assistant, supporting senior executives (preferred); however, recent graduates from business programs are also encouraged to apply.
- Strong organizational and time management skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and collaboratively in a team environment.
- A valid driver's license and access to a vehicle is required.
- Ability to handle sensitive information with the utmost confidentiality.
- Strong problem-solving skills and attention to detail.
- Willingness to travel occasionally for shows, conferences, meetings, or other company-related events.
- Employment Type: Full-time.
- Schedule: 40 hours per week.
