Job Summary

We are seeking a highly skilled and detail-oriented Strategic Operations Coordinator to join our team at the City of Vancouver. In this role, you will provide complex administrative support to the Equity Office, including scheduling meetings, managing calendars, and coordinating events.

About the Role

This is an exciting opportunity for a motivated individual who is passionate about equity and inclusion. As a Strategic Operations Coordinator, you will work closely with the Chief Equity Officer and other team members to ensure the smooth operation of the Equity Office.

Key Responsibilities
  • Provide confidential and sensitive administrative support to the Equity Office, including complex scheduling tasks and coordination of events.
  • Manage the calendar for the Chief Equity Officer, schedule meetings, and arrange travel arrangements as needed.
  • Assist team members with non-routine scheduling tasks, including booking meeting rooms and arranging catering.
  • Monitor the Equity Office email inbox and phone line, directing inquiries and requests to the team with discretion and judgment.
  • Organize event logistics, including room booking, supplies, and invitations, ensuring accessibility needs are considered.
  • Administer the Equity Council, maintaining email distribution lists, updating SharePoint sites, and posting relevant information on the City's internal communication channels.
  • Coordinate reports and memos for the Equity Office Council, ensuring timely communication with concurring departments.
Qualifications
  • Grade 12 education supplemented by business courses, typing, word processing, and two years' related administrative experience preferred.
  • Considerable knowledge of office methods and procedures, routine filing, and Microsoft Office applications.
  • Exceptional customer service and interpersonal skills, with the ability to exercise tact and discretion in dealing with confidential or sensitive information.

The estimated salary range for this position is between $60,000-$80,000 per year, based on experience and qualifications.
