Job Summary:

The Administrative Support Coordinator is responsible for fostering a strong relationship between the clinic and its customers, including patients, staff, funders, and referral sources. This is achieved by efficiently providing administrative support and coordinating clinic activity with friendly, enthusiastic, and professional service with all patients, team members, and external customers.

Key Responsibilities:

  • Provide exceptional customer service to patients and visitors, answering questions and addressing concerns in a timely and professional manner.
  • Coordinate referrals for Worksafe, LTD, and ICBC clients, ensuring seamless communication and efficient processing.
  • Conduct thorough and accurate intake of patient information, including medical history and treatment plans.
  • Assist patients with completing paperwork, ensuring accuracy and minimizing errors.
  • Coordinate scheduling of patient appointments and maintain accurate patient records.
  • Collect payment at time of service, ensuring timely and efficient processing.
  • Track coverage for all funding streams, ensuring approval and compliance.
  • Complete data entry and billing, maintaining accurate and up-to-date records.
  • Coordinate courier packages and process incoming and outgoing mail, emails, and faxes.
  • Provide administrative support to the Care Coordinator Manager and Clinic Director, ensuring seamless communication and efficient operation.

Qualifications & Core Competencies:

  • High School Diploma, G.E.D., or equivalent.
  • Excellent customer service skills and telephone etiquette.
  • High degree of organizational skills and ability to prioritize and multi-task.
  • Excellent communication (verbal/written) and interpersonal skills.
  • Strong computer and data entry skills.
  • Flexible and adaptable to change.
  • Experience in a Physiotherapy clinic an asset.
  • Ability to work on a flexible schedule.
