Responsibilities and Qualifications

The Capital Projects Coordinator role at Oakville Enterprises Corporation involves facilitating the implementation of capital projects within the Transportation & Engineering Department.

Responsibilities
  • Work collaboratively with Purchasing and Finance teams to implement capital projects.
  • Develop and review RFPs and tenders to ensure compliance with company policies.
  • Evaluate proposals for RFPs, tenders, and roster awards.
  • Assist in the assessment of contractors and consultants.
  • Participate in initiatives that enhance collaboration between departments.
  • Manage the consultant roster, including creating terms of reference and evaluating submissions.
  • Provide regular updates to Purchasing on upcoming RFPs and tenders.
  • Ensure all awards through the roster are documented by project leads.
  • Collaborate with Asset Management to identify partnership opportunities and establish construction schedules.
  • Act as the primary contact for inquiries from Service Oakville.
  • Respond to inquiries and draft professional replies for project leaders and senior management.
  • Redirect misdirected inquiries to the appropriate department or agency.
  • Direct inquiries to the appropriate project leader.
  • Maintain a log of received inquiries and ensure timely follow-up.
  • Assist with public information centers and related activities.
  • Conduct site visits to determine who is working and why.
  • Offer suggestions for improving internal processes and systems.
  • Update processes and systems as required.
  • Maintain project records, ensuring reports, milestones, IFT drawings, meeting minutes, etc., are filed in project directories.
  • Audit project files and work with project leaders to update them as needed.
  • Verify the completeness of project files and update them with the assistance of project leaders.
Qualifications
  • Degree in Civil Engineering Technology.
  • CERTIFIED ENGINEERING TECHNOLOGIST (CET) designation from OACETT.
  • At least 3-5 years of relevant experience.
