Job Description

We are seeking a highly organized and detail-oriented Executive Support Specialist to join our team at Quantum Byte Solutions. As an integral part of our organization, this role will provide administrative support to our senior leadership team, ensuring seamless day-to-day operations.

Responsibilities:
  • Arrange and coordinate seminars, conferences, and other events to facilitate effective communication and collaboration among team members.
  • Record and prepare minutes of meetings, seminars, and conferences to maintain accurate records and facilitate decision-making.
  • Determine and establish office procedures and routines to optimize efficiency and productivity.
  • Plan, develop, and implement recruitment strategies to attract top talent and fill vacant positions.
  • Schedule and confirm appointments with internal and external stakeholders to ensure timely and effective communication.
  • Answer telephone calls, relay messages, and respond to electronic inquiries in a professional and courteous manner.
  • Respond to employee questions and complaints in a prompt and respectful manner.
  • Order office supplies and maintain inventory to ensure a well-stocked and efficient workspace.
  • Oversee payroll administration to ensure accurate and timely processing of employee pay.
  • Greet visitors and direct them to contacts or service areas to provide a positive first impression.
  • Type and proofread correspondence, forms, and other documents to maintain high-quality standards.
  • Recruit and hire workers and carry out related staffing actions to build a strong and diverse team.
