Job Summary

We are seeking a highly skilled User Experience Specialist to join our team in Montreal. As a User Experience Specialist, you will play a key role in cultivating an engaging user experience for our tenants, allowing us to bring to life our mission to provide knowledge-based organizations with urban environments that foster creativity and connectivity.

Key Responsibilities
  • Manage all users, handling day-to-day inquiries and concerns, including billing issues, accounts receivable, accounts payable, vendor purchase orders, lease administration, user requests, service amenities, and telecommunications.
  • Maintain, track, and report on service contracts and fee schedules.
  • Oversee parking processes, including parking agreements, maintain tracker, ensuring compliance, and resolving issues.
  • Provide accurate and timely accounts receivable and accounts payable reporting.
  • Assist in the development of asset plans.
  • Support the coordination of Allied's Environmental, Social, and Governance (ESG) initiatives.
  • Manage day-to-day property operations and coordinate vendor work.
  • Liaise with Technical Services team members to ensure user concerns are addressed in a timely manner and service levels are maintained.
  • Collaborate on user appreciation ideas and events, waste reduction initiatives, and tenant survey requirements.
  • Provide exceptional customer service to all users, vendors, and colleagues.
  • Build strong relationships with users through regular interactions and Allied's User Engagement Program.
  • Ensure timely completion of all property-related information requests and filing.
  • Assist during emergencies and maintain up-to-date emergency plans.
  • Support Property teams with user-focused communications, projects, and programs.
  • Embody and support Allied's safety and security program.
Requirements
  • At least 2 years of customer service, hospitality, or administrative experience.
  • Previous Yardi experience is an asset.
  • Exceptional customer service skills.
  • Strong verbal and written communication and people skills, including a proven ability to build relationships.
  • Strong computer skills with excellent knowledge of MS Excel and MS Word.
  • Strong organization and multi-tasking skills.
  • Ability to work under pressure in a fast-paced environment.
  • Team player attitude.
