Job Summary
The Constituency Assistant will provide administrative support services to the Member of Parliament. This role is key in helping advance and facilitate the Member's main objectives and priorities through outreach, events planning, and other strategic activities.
Key Responsibilities
- Act as the first point of contact for constituents in person and over the telephone.
- Prioritize, sort, and evaluate correspondence and distribute it to the appropriate individuals.
- Draft responses to constituent emails and letters.
- Attend events, meetings, and gatherings in the riding with the Member.
- Plan and coordinate meetings, travel arrangements, appointments, and conferences, and provide specific and relevant information to the Member on all relevant matters.
- Collaborate with the constituency office team to optimize the work of the MP.
Qualifications
- Post-secondary education from a recognized institution in a related field or an acceptable combination of education, training, and experience.
- Experience working in an office setting providing reception or administrative support.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, and Publisher) and database management.
- Experience dealing with various stakeholders, clients, and managers.
- Exceptional judgment and interpersonal skills, and the ability to exercise diplomacy when interacting with the public and stakeholders.
- Experience in using social media platforms for professional purposes.
- Superior verbal and written communication skills and a strong customer service attitude.
- Strong organizational skills, ability to work under pressure, respond to short-term demands, and adapt to new situations.
Assets
- Knowledge of the political environment and/or experience working in a political office setting.
- Language assets: Cantonese or Mandarin.
