Job Title: Research Proposal Data Assistant

We are seeking a highly organized and detail-oriented individual to join our team as a Research Proposal Data Assistant. In this role, you will be responsible for coordinating and managing research proposal and project data for NAIT's database.

Key Responsibilities:
  • Coordinate with researchers, colleagues, and other internal stakeholders to capture pertinent research proposal and project data for NAIT's database.
  • Update the database and maintain data integrity to ensure an initiative is set up for success from the initial proposal development stage through to the award decision stage.
  • Support the Research Proposal Administrator with adding and updating proposal information in the database, including status updates, funder and partnering organization details, agreement details, and budget information.
  • Document project amendments such as changes in start/end dates, invoicing details, budget increases/decreases, addition/removal of partnering companies, etc.
  • Work with other departments to track both applied research projects and technical service projects in Microsoft Excel spreadsheets.
  • Communicate with Financial Coordinators and Financial Administrators when a proposal is awarded to help facilitate project set-up.
  • Manage a shared Microsoft Outlook inbox for all incoming proposal developments, submissions, and award decisions.
  • Use Microsoft Sharepoint to electronically save and organize important documents and conversations pertaining to pre-awarded proposal and awarded projects.
  • Communicate with colleagues and other departments to seek clarity and/or missing documents and information while keeping records in the database of ongoing discussions and complications.
  • Pull raw data from the database to prepare metrics reports for internal and external stakeholders, frequently on an ad hoc basis.
  • Update/Test new database queries.
  • Update the Standard Operating Procedures (SOPs) with current best practices.
  • Participate in special projects as assigned.
  • Actively support improvements and procedures within the department.
Requirements:
  • Related post-secondary diploma or degree.
  • 1-3 years of related experience.
  • PeopleSoft Finance software experience and Database Management experience would be an asset.
  • Salesforce and Workday software experience would be an asset.
  • Microsoft Power Platform (Power BI and Power Automate) experience would be an asset.
