Job Description

We are seeking an experienced Executive Coordinator to provide comprehensive support to our CEO Office, Senior Leadership Team, and Board of Directors. The successful candidate will be responsible for ensuring the effective and efficient functioning of our executive/administrative offices.

Key Responsibilities:
  • Provide administrative support to the CEO Office, Senior Leadership Team, and Board of Directors
  • Manage corporate planning, schedule management, office management, communication liaison, information preparation, records management, data analysis, and representation of senior leaders
  • Support operational meetings by developing agendas, taking minutes, distributing meeting materials, and coordinating meeting details
  • Maintain governance processes and protocols, including knowledge of bylaws and statutory requirements
  • Plan, coordinate, and attend Board, Annual General, and Board committee meetings
Required Skills and Qualifications

To be successful in this role, you will require:

  • Post-secondary education in business or office administration
  • Addition training or certification in project management and/or quality improvement
  • General understanding of board governance and non-profit operations
  • 3+ years' experience in a similar position
  • Experience supporting executive or working in a senior leadership office preferred
  • Ability to work autonomously with minimal supervision
  • Strong working knowledge of computers and databases
  • Demonstrated proficiency with the Microsoft Office suite of products
  • Working knowledge of office equipment and ability to troubleshoot issues
  • Professional, diplomatic, and high degree of discretion
  • Strong and confident verbal and written communication skills
  • Exceptional interpersonal, customer service, and writing skills
  • Strong planning, project management, analytical, and problem-solving skills
  • Flexible and able to manage multiple requirements in a fast-paced environment
  • Detail-oriented with a high degree of accuracy
  • Strong team player with ability to work across all levels of the organization
