Overview

We are seeking an experienced Business Administrator - Site Lead to provide support for our Vancouver-based team. This position requires the ability to work in a fast-paced and dynamic environment, with a focus on leadership, space and facilities management, event coordination, and team management support.

Responsibilities

Leadership

  • Lead by example and serve as a role model to Business Support colleagues by maintaining a professional attitude, demonstrating executive presence, influencing others, and encouraging self-reflection during challenging situations.

Space & Facilities Management Planning

  • Accurately maintain and manage up-to-date space-management processes and team spaces, including office locations, desk assignments, private conference rooms, and remote/location status.
  • Own the space allocation, management process, messaging, and conflict resolution within the Vancouver team.
  • Work with Space Planner to coordinate large-scale space requests, liaising between admins and space planner and advocating for appropriate space for their team.
  • Maintain accurate space utilization data and hygiene to recommend changes in space assignments and identify future space requirements.

Event Coordination and Logistics

  • Own the coordination, logistics, and direction for events, including developing workback schedules, checkpoints, and acting as a point of contact for events.
  • Collaborate and coordinate with stakeholders to set up events, manage supplier and business relationships, and engage in post-event close-out.

Team Management Support

  • Facilitate team experience activities, collaborate with Global Talent Acquisition to facilitate internal and external recruitment efforts, and partner with hiring managers to ensure a smooth process.
  • Lands onboarding activities, provides support to new employees, vendors, and interns, and connects new hires with the right stakeholders.
  • Lands and manages headcount management activities in collaboration with Business Manager(s) and/or Chiefs of Staff.

Resource Management

  • Participate in discretionary budget tracking and reporting, and partner with Finance to own expense management, including documentation, expense tracking, and policy compliance.
  • Identify and resolve expense and supply-related issues, and may serve as interim approver for finance approvals.

Project Ownership

  • Balance multiple projects end to end with varying deadlines, while maintaining executional and operational excellence within the business and across business groups.
  • Streamline processes, provide process improvements, and adjust as needed.

Cross-Functional Collaboration and Communication

  • Build and leverage network across organizations to enable their team and leader's work, and serve as a liaison between executives and teams.
  • Communicate with external partners/audiences and third parties, representing their leader(s) and Microsoft.

Calendar Management

  • Maintain and update local events Rhythm of Business calendar.
  • May provide strategic calendar management and time planning support for manager(s), aligning calendar based on knowledge of manager's preferences and operating styles.
