About the Role:
This is a full-time, hybrid position that requires occasional travel to industry events and employee gatherings. We offer a competitive salary, benefits package, and opportunities for career growth and development.
Key Responsibilities:
- Data Entry & Reporting: (50%)
- Input and maintain data into various software systems and spreadsheets
- Prepare reports and presentations, particularly in PowerPoint and Excel, for senior management
- Ensure data integrity and organization across various platforms (MS Dynamics and SharePoint)
- General Administrative Support: (25%)
- Provide general administrative support to the leadership team and other departments as needed
- Assist with special projects and other tasks that support the business
- Expense Management: (15%)
- Track, process, and submit expense reports for executives
- Ensure expenses align with company policies and are processed in a timely manner
- Maintain and update financial records for transparency and reporting
- Travel Arrangements: (5%)
- Coordinate and book travel arrangements (flights, accommodations, car rentals, etc.) for executives
- Prepare detailed itineraries and ensure all necessary travel documentation is provided
- Handle any travel-related issues or changes, providing quick solutions
- Office Management: (5%)
- Maintain the organization of office supplies, equipment, and schedules
- Assist in the preparation of meetings and presentations
- Handle emails, and other communications with professionalism
Requirements:
- Qualifications & Experience:
- 2+ years of experience as an executive assistant, administrative assistant or similar role, ideally within a corporate sales environment
- Associate or Bachelors degree
- Strong proficiency in Microsoft Office Suite, particularly Excel, PowerPoint and Dynamics
- Excellent organizational skills with the ability to manage multiple tasks and priorities
- Strong communication skills, both verbal and written
- High attention to detail and accuracy
- Ability to work independently and as part of a team
- Experience with travel bookings, expense management, and office coordination preferred
- Discretion and confidentiality are essential.
