Project Administrative Assistant

Integrated Sustainability is seeking a highly organized and detail-oriented Project Administrative Assistant to support various projects across the organization. As a key member of our team, you will play a crucial role in ensuring the smooth execution of projects, maintaining efficient communication between teams, and fostering a positive working atmosphere.

Key Responsibilities:
  • Project Coordination: Assist with field logistics, including arranging travel accommodations, tracking and managing field resources and equipment, and ensuring logistics needs align with project timelines.
  • Documentation and Communication: Review and edit technical documents, reports, and proposals for grammatical and formatting accuracy. Draft and review letters, and create and edit PowerPoint presentations and flowcharts.
  • Office Management: Coordinate daily office tasks, including supplies, calendars, and office events. Maintain electronic and hard-copy filing systems and provide backup support to other Administrative Assistants/Project Coordinators as needed.
Requirements:
  • Experience: Minimum 3+ years of proven administration experience.
  • Education: Applicable university degree, college diploma, or certificate – or equivalent experience.
  • Language: Fluency in English with proficient interpersonal skills, including strong verbal and written communication.
  • Work Authorization: Must be legally authorized to work in Canada.
Preferred Qualifications:
  • EPCM or Mining Experience: Experience within an EPCM or Mining environment would be considered an asset.
