About the RoleAs the Office and Sales Administrator, you will play a vital part in ensuring smooth front office operations, while providing top-notch customer service and supporting our sales teams in their daily activities. The ideal candidate for this position is highly organized, efficient, and possesses excellent communication and interpersonal skills. You should have experience working in a sales support position or administrative role, with proficiency in Gmail, Google Drive, Docs, Forms, and Sheets. Proficiency in French (spoken and written) is considered an asset.
Your responsibilities will include:
- Managing sales orders from start to finish, ensuring timely distribution to our production team and effective communication with customers.
- Sales Team Support: follow up on B2B customer outreach, coordinate product knowledge sessions, schedule meetings, and maintain accurate records of prospects and OEMs.
- Outside Sales Team Support: assist outside sales representatives with delivery of merchandise and displays, follow up on completed tasks, and ensure seamless coordination with internal teams.
- Warranty Request Support: receive and assess warranty requests, communicate status updates to customers, and maintain detailed records of claims and resolutions.
- Administrative Support: provide general administrative assistance, data entry, filing, documentation, and maintenance of customer databases.
You will also be responsible for planning and coordinating sales team events, educational/training sessions, and providing intra-office communications support among the sales team, marketing, and Director of Sales.
Key Requirements- High School Diploma or equivalent required; Degree or Diploma in Business Administration or a related field preferred.
- 2+ years of experience in a sales support position or administrative role.
- Proficiency in Gmail, Google Drive, Docs, Forms, and Sheets.
- Strong customer-service mindset, with ability to represent our company in a professional, enthusiastic, and positive manner.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- Strong attention to detail and organizational skills.
- Able to work independently and as part of a team.
- Overall tech-savviness and willingness to learn and use new technologies.
- High level of professionalism and discretion; experience handling confidential information.
