About the Role

Ruby & Co. is seeking a highly skilled Corporate Legal Assistant to join its corporate law practice. This role offers an exceptional opportunity for a dedicated professional to utilize their expertise in providing administrative and legal support to corporate lawyers, ensuring seamless file management and preparation of high-quality legal documents.

Key Responsibilities:

  • Provide comprehensive administrative support to corporate lawyers, including efficient file management and organization.
  • Prepare and review legal documents, including incorporations, annual resolutions, and minute book maintenance, with meticulous attention to detail.
  • Assist with complex corporate transactions, mergers, acquisitions, and reorganizations, requiring strong analytical and problem-solving skills.
  • Conduct thorough corporate searches, filings, and registrations with government agencies, ensuring compliance with regulatory requirements.
  • Manage lawyers' calendars, schedule meetings, and coordinate client communications, demonstrating excellent organizational and time-management skills.
  • Handle document preparation for corporate closings, including drafting closing agendas and organizing closing binders, showcasing proficiency in document management software and Microsoft Office Suite.
  • Maintain and update corporate records and databases, ensuring accuracy and completeness.
  • Process invoices, track billable time, and manage expense reports, highlighting financial acumen and attention to detail.

    Requirements:

    • Legal Assistant diploma or equivalent certification, with a strong understanding of corporate legal procedures and document preparation.
    • A minimum of 3+ years of experience as a legal assistant in corporate law, with a proven track record of success.
    • Proficiency in legal document management software and Microsoft Office Suite, with the ability to learn new technologies quickly.
    • Excellent organizational skills and attention to detail, with the ability to prioritize multiple tasks and work under pressure.
    • Strong written and verbal communication skills, with the ability to effectively communicate with lawyers, clients, and other stakeholders.
    • Ability to manage multiple priorities in a fast-paced environment, with a collaborative approach to working with colleagues and clients.
