Position Overview:

The primary focus of the Investments Administrator is to provide administrative support and facilitate the processing of segregated fund trades, ensuring all tasks are processed in a compliant, accurate, and timely manner to maintain service levels to advisors.

Key Responsibilities:

  • Facilitate the processing of segregated funds, GICs, and other investment products with insurance carriers, ensuring compliance with process protocols and service standards.
  • Assume ownership of assigned files and quality of data, recognizing urgencies and assisting in resolving problems that may prevent a file from moving through the process as quickly as possible.
  • Track and follow-up on pending transfers with carriers.
  • Perform immediate follow-up with advisors regarding missing information, supporting documentation, information discrepancies, and unclear instructions.
  • Effectively resolve any issues, questions, or complaints related to investments.
  • Establish and facilitate new client accounts within the WealthServ Investment System.
  • Manage incoming and outgoing investments mail to ensure all service standards are met.
  • Additional responsibilities, duties, and special projects as identified.
  • Engage in actions that encourage, reflect, and align with PPI's ESG (Environmental, Social, and Governance) commitments to our advisors, their clients, and our employees.

Required Skills and Qualifications:

  • A minimum of 2 years' experience in the investment industry.
  • Superior organizational and time management skills with demonstrated ability to effectively manage multiple tasks and responsibilities.
  • Proven accuracy, attention to detail, and data entry skills.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with a demonstrated ability to develop and maintain relationships and work within a team environment.
  • Ability to represent self, office, and organization in a professional, positive manner at all times.
  • Ability to handle sensitive and confidential information in a professional manner.
  • Knowledge of WealthServ and Microsoft Office programs; Outlook, Word, Excel, and PowerPoint in particular.
  • Excellent English language skills, both oral and written, due to frequent interactions with English-speaking colleagues, internal partners, and clients across Canada. French language skills beneficial but not required.
