Job Summary

We are seeking a highly skilled and experienced Branch Operations Administrator to join our team at BMO Financial Group. As a key member of our operations team, you will play a critical role in supporting the branch and/or region in achieving business objectives by providing effective operational support and management of sales compliance and regulatory requirements.

Key Responsibilities
  • Manage client documentation for correspondence and set-up, ensuring accuracy and timeliness.
  • Provide front of house and reception support as needed, ensuring a positive customer experience.
  • Collaborate with internal and external stakeholders to deliver on business objectives, driving results and growth.
  • Supervise the day-to-day operational activities, coordinating the workflow of less-experienced staff and ensuring seamless execution.
  • Organize and file records of office activities and business transactions, maintaining a secure and compliant filing system.
  • Create, maintain, and enter information into databases, ensuring data accuracy and integrity.
  • Assist with the coordination and processing of work orders for equipment warranties, maintenance, and repairs, ensuring timely execution and minimal disruptions.
  • Maintain office supplies inventory and orders, ensuring a well-stocked and efficient workspace.
  • Schedule meetings and coordinate meeting facilities and set-up, ensuring a seamless experience for all stakeholders.
  • Liaise with internal and external partners to coordinate changes to premises, ensuring minimal interruptions to business operations.
  • Identify and escalate all irregularities and discrepancies to management, ensuring prompt resolution and compliance.
  • Perform various operational activities to meet business objectives, client needs, and maintain overall service levels, driving results and growth.
  • Provide administrative/operational support, including financial and transactional processing and reporting, account processing and documentation, compliance processing, and other related activities, ensuring proper documentation and administration of decisions.
  • Meet high-quality service standards to maximize relationship retention and growth, driving customer satisfaction and loyalty.
  • Identify and escalate all irregularities and discrepancies to management and compliance as per guidelines, ensuring prompt resolution and compliance.
  • Follow through on risk and compliance processes and policies to ensure we safeguard our customers' assets, maintain their privacy, act in their best interests, and ensure an effectively run function.
  • Protect the Bank's assets and comply with all regulatory, legal, and ethical requirements, ensuring a secure and compliant environment.
  • Complete complex and diverse tasks within given rules/limits, driving results and growth.
  • Analyze issues and determine next steps, escalating as required to ensure prompt resolution and compliance.
  • Broaden work or accountabilities may be assigned as needed, ensuring flexibility and adaptability in a fast-paced environment.
Qualifications
  • Typically between 2-3 years of relevant experience and post-secondary degree in a related field of study, or an equivalent combination of education and experience.
  • Basic specialized knowledge, with a focus on sales compliance and regulatory requirements.
  • Verbal and written communication skills - Good.
  • Organization skills - Good.
  • Collaboration and team skills - Good.
  • Analytical and problem-solving skills - Good.
Salary and Benefits

$32,700.00 - $48,600.00

Salaried

The above represents BMO Financial Group's pay range and type.

Salaries will vary based on factors such as location, skills, experience, education, and qualifications for the role, and may include a commission structure. Salaries for part-time roles will be pro-rated based on the number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group's expected target for the first year in this position.

BMO Financial Group's total compensation package will vary based on the pay type of the position and may include performance-based incentives, discretionary bonuses, as well as other perks and rewards.
