Job Summary

We are seeking a highly organized and detail-oriented Project Coordinator to join our team at Dillon Consulting. As a key member of our project management team, you will provide administrative support to project managers and contribute to the successful delivery of engineering design and construction projects.

Responsibilities
  • Provide coordination support to project managers, including preparation, monitoring, and execution of project plans, reports, proposals, contracts, and electronic project set-up and maintenance.
  • Assist with design and coordination of transportation and municipal infrastructure projects, including water supply, sewers, roads, land development site servicing, drainage, and waste management elements.
  • Draft client and sub-consultant/sub-contractor agreements and scope changes using Dillon standard templates, and coordinate the contract review and approval process.
  • Provide assistance with general accounting needs, including invoices, accounts payable, expense claims, database management, project closure, and tracking, verifying, and processing sub-consultant/sub-contractor invoices.
  • Support project managers with document control programs, tracking requests for information (RFIs), setting up project team meetings, and facilitating responses to information from technical teams.
  • Attend project meetings to record and distribute meeting minutes, participate in client meetings, and liaise with various departments within our client groups.
  • Contribute to the development of project documentation, including letters, memos, forms, specifications, and assist with planning and maintaining schedules, compiling from multiple authors, inclusion of tables/graphs/graphics, and coordinating quality and risk reviews.
Requirements
  • 5 years of project administration/project coordination/construction management related experience with a background in engineering, civil preferred.
  • Post-secondary education in a business administration or project management related program is considered an asset.
  • Understanding of basic accounting principles, terms, and financial functions.
  • Proficient in the use of Microsoft Office, specifically Word, Excel, and PowerPoint.
  • Excellent attention to detail, a high regard for accuracy, and the ability to provide high-quality outputs.
  • Professional verbal and written communication skills.
  • Time management skills and the ability to prioritize work effectively to meet tight deadlines and adapt to changing workload demands.
  • Strong interpersonal skills and a positive "can-do" attitude.
  • Ability to develop innovative solutions when experiencing unexpected challenges or roadblocks.
