About the Role

We are seeking a highly organized and customer-focused Spa Receptionist to join our team at Swan Spa Massage. As a key member of our front desk team, you will be responsible for providing exceptional customer service and ensuring a seamless experience for our clients.

Key Responsibilities
  • Greet and Direct Clients: Welcome clients and direct them to the appropriate service areas, ensuring a smooth and efficient experience.
  • Provide Information and Support: Offer basic information and support to clients, including answering questions and providing directions.
  • Process Client Information: Obtain and process client information required to provide customer service, including taking payments and processing orders.
  • Manage Office Supplies: Order and maintain office supplies, ensuring that our front desk area is well-stocked and organized.
  • Record and Relay Information: Record and relay important information to clients and staff, including appointment schedules and client feedback.
  • Schedule and Confirm Appointments: Schedule and confirm appointments with clients, ensuring that our staff is aware of upcoming appointments and client needs.
  • Send Invoices and Reminders: Send invoices and reminders to clients, ensuring that payments are received in a timely manner.
  • Maintain Work Records and Logs: Maintain accurate and up-to-date records and logs, including client information and appointment schedules.
  • Receive and Issue Payments: Receive and issue payments, including processing credit card transactions and handling cash payments.
  • Perform Clerical Duties: Perform various clerical duties, including filing, sorting, and distributing mail, as well as answering phone calls and relaying messages.
  • Provide Directory Assistance: Provide directory assistance to clients, including answering questions and providing directions.
  • Perform Data Entry: Perform data entry tasks, including updating client information and appointment schedules.
  • Provide Customer Service: Provide exceptional customer service, including responding to client inquiries and resolving any issues that may arise.
Requirements
  • Education: Secondary (high) school graduation certificate.
  • Experience: Will train.
  • Support for Newcomers and Refugees: Supports newcomers and/or refugees with foreign credential recognition and provides diversity and cross-cultural trainings to create a welcoming work environment.
  • Support for Indigenous People: Offers mentorship, coaching, and/or networking opportunities for Indigenous workers and provides cultural competency training and/or awareness training to all employees.
  • Language: English.
  • Work Hours: 40 hours per week.
