Job Title: Event Coordinator

We are seeking a highly organized and detail-oriented Event Coordinator to join our team at Ingaged Creative Productions. As an Event Coordinator, you will be responsible for coordinating and executing events, conferences, and meetings from start to finish.

Key Responsibilities:
  • Assist in preparing financial reports and budgets for events
  • Promote conference and meeting services or special events through marketing and communication plans
  • Develop media strategies and public relations activities to increase event visibility
  • Recruit, hire, and supervise staff and/or volunteers as needed
  • Prepare, present, and manage budgets for events
  • Solicit event donors and sponsors
  • Determine requirements for hospitality services, signage, multi-media equipment, printing, and other technical services, and arrange for and manage contracts for these services
  • Assist in budget preparation and financial planning
  • Co-ordinate media services, including audio-visual equipment and technical support
  • Plan and arrange for accommodation and transportation services for event attendees
  • Plan schedules, goals, and objectives for events
  • Research and design special events programs, including theme development and logistics
  • Book facilities for office personnel and event staff
  • Plan for social events and guest programs
  • Manage Event Logistics, including venue selection, catering, and audio-visual equipment
  • Identify human resources requirements and supervise office and volunteer staff
  • Determine staffing requirements and consult with clients regarding weddings, banquets, and specialty functions
  • Direct staff and ensure smooth execution of events
Requirements:
  • 3 years to less than 5 years of experience in event planning, conference coordination, or a related field
  • Valid driver's license and own vehicle
  • Willingness to travel
  • Excellent communication and interpersonal skills
  • Ability to multitask and work under pressure
  • Attention to detail and ability to work accurately
  • Client focus and ability to provide excellent customer service
  • Efficient interpersonal skills and ability to work as a team player
  • Time management and resourcefulness
