Opportunity Overview:

Become an integral part of advancing cancer treatment within our Clinical Trials Unit. The Clinical Research Budget Administrator is tasked with a comprehensive array of financial responsibilities, including reporting, analysis, and interpretation. This role is essential for providing administrative support and facilitating the financial oversight of clinical trial projects within the Clinical Trials Unit (CTU). The individual in this position will undertake a variety of tasks that necessitate independent judgment, effective prioritization, confidentiality, initiative, and strong organizational capabilities. Collaboration with CTU Financial Analysts and study personnel is key, with direct reporting to the CTU Manager.

Key Responsibilities:

The primary duties include:

  • Establishing and maintaining comprehensive documentation and files for research grants and clinical trial accounts, along with preparing account consolidations.
  • Creating a visit register to monitor study visits for each project.
  • Entering expenditure and revenue data for research purposes into designated spreadsheets and databases.
  • Reconciling payments and processing deposits efficiently.
  • Initiating documentation and invoicing for sponsors in accordance with study contracts and budgets.
  • Communicating with sponsors to address discrepancies and follow up on outstanding receivables.
  • Coordinating with study staff to ensure timely review of protocol amendments.
  • Processing reimbursements for patient out-of-pocket expenses as specified in contracts.
  • Managing accounts payable transactions from both internal and external vendors.
  • Handling payment of invoices related to CTU operations.
  • Processing staff expense claims and travel reimbursements, along with other general finance tasks.
  • Completing account closures, journal vouchers, and assisting in clearing over-expenditures.
  • Supporting physicians, nurses, and coordinators in interpreting study budgets and expenses.
  • Responding to sponsor inquiries regarding trial budgets and invoicing.
  • Initiating discussions with sponsors concerning unique patient travel reimbursement situations.
  • Assisting in the preparation and distribution of regular financial activity reports for account holders.
  • Collaborating with AHS SFA/Finance and CTU budget staff to finalize budget negotiations and other necessary tasks.
  • Completing financial functions or providing subject matter expertise for various AHS/CTU initiatives.

Required Qualifications:

Candidates should possess intermediate to advanced proficiency in Microsoft Office applications, including spreadsheet design and relational databases. A demonstrated ability to monitor financial transactions across multiple projects or accounts, coupled with the capability to assist in the interpretation of financial data for analysis and forecasting, is essential. Strong written and verbal communication skills, along with meticulous attention to detail, are required. The ability to work collaboratively within a cohesive team, as well as independently, is crucial. Candidates should be adaptable and eager to learn new skills, systems, and processes. Physical demands of the role include prolonged sitting, lifting and moving clinical trial documents weighing up to 35 lbs., and performing repetitive motions.

Preferred Qualifications:

Experience in clinical trial procedures, finance, or budget negotiation is advantageous. Familiarity with medical tests and procedures, as well as experience working with pharmaceutical sponsors, clinical research organizations, or within an academic oncology medical center, is preferred. Extensive knowledge of Excel and Access is beneficial, and experience with Connect Care/EPIC systems is considered an asset.
