Job Summary

The Assistant to the COO of Intensive Home Supports plays a vital role in the efficient day-to-day operations of the Service Division in Manitoba and Saskatchewan. Reporting directly to the COO, this individual will contribute to the success of the project by working independently and as part of a team.

Key Responsibilities
  • Assist the IHS Administrative Coordinator and IHS Administrative Assistant with program properties and locations, including obtaining permits, purchasing equipment or supplies, and filing property leases and contracts.
  • Track, complete, and obtain signatures for Care Provider contracts for the Home Share Department.
  • Complete various billing duties for Manitoba and Saskatchewan.
  • Maintain Accounts Receivable and investigate outstanding balances, providing periodic updates to the Senior Case Manager, Director, and COO of IHS.
  • Collect and submit receipts for the Master Card to the IHS Administrative Coordinator.
  • Organize and maintain the Director's office and paperwork.
  • Assist in policy development or revision, ensuring accurate information is obtained through relevant sources.
  • Screen and/or return telephone calls, inquiries, and requests.
  • Represent and assist the COO at off-site meetings and functions as required.
Requirements
  • 18 years of age or older.
  • Available 40 hours per week (full-time).
  • Current Adult Abuse Registry Check (no older than six months).
  • Child Abuse Registry Check (no older than three months).
  • Valid Class 5 driver's license and access to a reliable vehicle.
  • Proficient in Microsoft Office: Word, Excel, PowerPoint, Outlook, Database management, and internet.
  • Proficiency in the use of office equipment, computer, voice messaging systems, fax/photo copier.
  • The ability to communicate in English is required, and working knowledge of French is preferred.
  • Some flexibility to work evening and weekends, as or if needed.
  • Bachelor's degree or college diploma in Business Administration or a related administrative services field.
