As a Human Resources Generalist, you will serve as the primary point of contact for HR, supporting our dynamic and fast-paced organization. Reporting directly to the Chief Executive Officer and Chief Financial Officer, you will facilitate, guide, and oversee a variety of personnel initiatives, operating at both strategic and operational levels to ensure the effective execution of processes and systems that enhance operational efficiency.

This independent role is recognized as a Cultural Leadership Position and will contribute to the design, implementation, and management of the corporate culture at Kit and Ace while also assisting with various Office Services tasks.

Key Responsibilities of the Human Resources Generalist:

  • Offer human resources consultation and guidance on critical personnel matters, including workforce planning, talent management, performance evaluation, succession planning, employee retention and engagement, conflict resolution, employee relations, benefits and compensation management, and adherence to all relevant legislation and regulations.
  • Support management at all levels with performance and employee relations challenges, providing coaching and advice to ensure the effective application of a comprehensive performance review process and the identification and development of key talent.
  • Facilitate onboarding and orientation for all new hires at the head office, managing the complete process of employee documentation throughout their employment lifecycle.
  • Maintain employee records and enter new hires into the HRIS, ensuring the accuracy and completeness of information.
  • Reconcile HRIS data with staffing plans for financial forecasting purposes.
  • Oversee Kit and Ace's group benefits program.
  • Assist employees with various HR inquiries, including HR policies, vacation and benefits programs, and processes for new hires, transfers, and changes in employment status.
  • Act as the primary user for WFN, providing hands-on support and troubleshooting as necessary.
  • Prepare, analyze, and organize HR reports (e.g., headcount, vacation, training, turnover, exit interviews), and create HR metrics and presentation materials as required.
  • Deliver high-quality administrative support, including the preparation of company-wide HR communications regarding new programs, announcements, and document distributions.
  • Provide administrative recruitment support, including scheduling interviews, conducting phone screens, preparing for interviews, and performing reference checks.
  • Assist with formatting and posting job descriptions on the company website and external job boards.
  • Support other company-wide People initiatives as needed.

Office Services Responsibilities:

  • Manage office and kitchen supplies.
  • Conduct routine inspections to ensure the office environment is tidy.
  • Coordinate and set up lunches and meetings.
  • Ensure restrooms and kitchens are consistently stocked.
  • Update birthday and work anniversary calendars.
  • Serve as the main contact for office security and emergency situations.
  • Assist with onboarding new employees by providing office tours and access fobs.
  • Collaborate with the Health and Safety Committee on daily health and safety matters.
  • Coordinate with custodial, facility maintenance, and security services.

Required Competencies:

  • Alignment with the company's core values, vision, and mission.
  • A minimum of 4-5 years of experience as an HR Business Partner or Generalist, preferably in a retail setting.
  • Thorough understanding of employment law and compliance issues in Canada.
  • Extensive knowledge of the Canadian benefits landscape, with demonstrated leadership and expertise in addressing benefits-related inquiries.
  • CPHR certification or a Bachelor's Degree in Commerce, Business Administration, or Human Resources.
  • Experience as a superuser of ADP WorkForce Now is advantageous.
  • Ability to work independently as well as collaboratively within a team.
  • Strong attention to detail and exceptional organizational skills.
  • Capability to maintain composure and work effectively in a fast-paced environment.
  • Excellent communication skills, solid problem-solving abilities, and the capacity to prioritize tasks and manage expectations.
  • Results-oriented and process-driven, with high standards for oneself and the team.
