Driver Trainer - Permanent Part-Time Hourly

Job Overview: The Driver Trainer is responsible for overseeing the management and entry of Driver Training orders. This role includes supporting representatives in the preparation of quotes, managing the trainer calendar (without optimizing), handling bookings, and facilitating all related communications. Additionally, the position involves importing and maintaining all customer training participant data.

Key Responsibilities:

Order Entry & Management

65%

  • Validate submitted Driver Training orders for compliance and auditing purposes.
  • Process Driver Training orders from sales representatives, including online keys, bookings, inspection booklets, participant materials, and any other related orders according to service level agreements.
  • Manage trainer schedules by: Holding dates and providing availability to sales representatives on a first-come, first-served basis; Confirming live and virtual sessions via email once dates are finalized; Canceling and rescheduling sessions based on notifications from sales representatives and trainers; Entering bookings as they are received with a focus on maximizing order entry; Planning travel for distant clients while considering expenses.
  • Submit travel expense requests on behalf of trainers for distant training requiring overnight stays, flights, and rentals.
  • Perform office duties including processing credit card transactions, packaging and shipping materials, and in-house printing of wallet cards.
  • Coordinate and schedule training for employees across various departments as needed.
  • Ensure timely processing of all invoices in the system upon order completion.
  • Issue invoices to customers using the internal order system.
  • Follow up with trainers and representatives for any missing information or documents that may delay invoicing.
  • Manage customer credits and rebills as necessary.
  • Collaborate with internal departments on customer inquiries, corrections, and disputes related to invoicing.
  • Collect and provide all necessary credit card transaction information for processing.

Data Management & Reporting

  • Generate reports on training records as requested by sales representatives.
  • Assist with inquiries regarding training records, including expiration dates and certificate reprints.
  • Import online transfer records daily from the online course platform into the internal order system.
  • Manage the import of training session data received from trainers and clients.
  • Maintain customer data files and participant records.
  • Distribute certifications to participants as required.

Client Interaction

15%

  • Handle all incoming and outgoing communications using various platforms.
  • Engage with external clients for specific agreements and support as needed.
  • Support the onboarding process for new trainers.
  • Address any trainer-related issues or concerns with the supervisor.
  • Provide training and support to new sales representatives regarding Driver Training courses.
  • Facilitate interdepartmental communication and support as necessary.
  • Assist internal customers with Driver Training quote preparation.

Team Collaboration

5%

  • Participate in team meetings and one-on-one sessions.
  • Complete all required training, including cybersecurity and LMS.
  • Prepare Standard of Work documents.
  • Provide coverage for team members as needed.
  • Meet key performance indicators and adhere to service level agreements.
